Veteran Advocacy Project (VAP) seeks a candidate to manage the fiscal and operational needs of our small but growing organization. This position is primarily remote but requires the person to be able to come to the office in downtown New York for any issues that arise.

VAP provides free legal services to low-income veterans and their families, with a focus on those living with post-traumatic stress disorder, brain injury, and substance dependency. The VA's records indicate that an average of 17 veterans die by suicide each day; too many struggle with mental health conditions and the effects of trauma. Our services provide access to health care and benefits, open the door to education and employment, keep families in their homes, and empower veterans by removing barriers to recovery. We partner with VA Vet centers, community health clinics, and veterans' organizations to reach individuals where they are. While our attorneys tackle legal challenges, our advocates connect clients with resources.

The Director of Finance & Operations will wear many hats and be instrumental in building out further infrastructure for the organization. The person will work with the executive director, program directors, and VAP's external accounting team to oversee contracts, development, and operations. The work includes, but is not limited to: contract management, including reviewing invoices and creating fiscal reports; working on budgets and allocations; overseeing payroll; assisting with audit preparation; identifying new funding sources; assisting with RFPs; working with the board, including on the annual event; and managing various operational matters, such as technology needs, office use, supplies, etc. Since this is a new position, the person who takes the job will have a strong influence shaping both their role and how the organization grows.

The ideal candidate has finance, development, and accounting knowledge as well as experience with budget projections and financial management for restricted funding, government contracts, and program grants. The candidate should have a working knowledge of GAAP and be familiar with the rules and regulations governing 501(c)(3) organizations. VAP would prefer that, along with familiarity with federal and state contracting, the candidate has experience with New York City contracting procedures, including using PASSPort.

VAP is seeking someone who is enthusiastic about taking on a wide range of responsibilities, no matter the size of the task—someone who is flexible and enjoys working as a team but embraces autonomy. This ideal candidate is a self-starter who likes to problem-solve, is extremely detail-oriented, and will be one step ahead of everyone else. The person in this role should be prepared to engage in everything from meeting with CEOs at partner organizations to ordering paper and pens.

Responsibilities:

  • Manage the organization's city, state, federal, and other contracts including overseeing invoicing (done by accounting) and providing documentation to funding agencies (budgets, year-end financial reports, insurance certifications, etc.);
  • Oversee budget allocations for contracts and grants and provide budget projections;
  • Identify opportunities for new funding and assist with RFPs and applications;
  • Assist the accounting team and executive director with audit preparation;
  • Assist with fundraising efforts, events, donor relations, and other projects;
  • Ensure that all fiscal and operational tasks are scheduled and executed properly;
  • Work with and assist the executive director with all fiscal and operational responsibilities;
  • Complete administrative work related to fiscal and operational needs.

Qualifications:

  • Minimum 3 years' experience in a position with similar a financial or operations responsibilities;
  • Strong work ethic and ability to take initiative; efficacy in organizing and prioritizing; self-starter who can manage multiple projects effectively;
  • Strong interpersonal and communication skills.

Compensation is commensurate with experience, ranging from $95,000 to $125,000 and includes health care benefits with no contribution to the employee premium, 401K, life insurance, EAP, etc.
