COMPENSATION: $70,000 - $73,200

POSITION SUMMARY

San Francisco Ballet (SFB), the first professional ballet company in America, seeks a Special Events Manager to join the Events Team. Under the direction and supervision of the Director of Events, the Special Events Manager will provide leadership and professional expertise in the planning and implementation of high-quality institutional events; will help to identify and facilitate discussion and decisions about issues affecting events; and will ensure that high standards and company-wide priorities are reflected in the planning and presentation of events. Works with individual giving team to identify opportunities to engage with special event attendees and foster a greater relationship with SF Ballet. The Special Events Manager supports SF Ballet by delivering excellent support and services to donors, patrons, subscribers, and volunteers. This position plays a significant role in supporting and creating a successful Company and enhancing the image of SFB.

ESSENTIAL POSITION RESPONSIBILITIES

  • Develops and implements strategies that nurture donor loyalty and foster personal relationships with the organization. Designs and produces large-scale virtual and in-person revenue-generating events in collaboration with Artistic, Operations, Education & Training, Production, Development, Marketing, IT, and Ticket Services staff. Partners with Director of Events, Event Chairs, and key Development staff to manage dinner and performance seating per patron requests. Maintains and creates positive and productive relationships with existing and new vendors. Oversees operations and timelines for fundraising and donor-benefit events specifically the Auxiliary wine event and Opening Night Gala as well as ad hoc events every year. Works closely with managers of teams from across the organization. Documents aspects of events that can be improved upon and updates task lists and calendars for the following year. Develops strategies for promoting fundraising events to the general public. Serves as point person at events. Attends and staffs stewardship events and other events, as necessary.
  • Creates event budgets, Tessitura build requests, weekly reports, final, and net reports. Works with Director of Events to reconcile fiscal year-end numbers with Database Coordinator and Finance. Prepares post-event reports on event income, expenses, and participation; analyzes trends and identifies strategies for subsequent events. Maintains event management records with event planning timelines, budgets and invoices, vendor and volunteer correspondence, meeting notes, and printed materials. Assists Director of Events in developing, monitoring, and analyzing revenue and expense data for each event. Conducts research to identify donors and prospects with special events purchasing potential using a variety of research means internally and externally.
  • Coordinates the design, editing, and production of printed event materials, event invitation lists, extractions, and Tessitura promotions, event web sites, and on-line registration. Contributes to development of integrated fundraising and marketing communication materials including publications, emails, e-news, program books, and social media outlets.
  • Engages with corporate partners to coordinate purchases of tickets for fundraising events, sponsorships, and securing in-kind gifts.
  • Using Tessitura software, tracks all information related to special events. Acts as main point of contact for event orders and event contribution processing. Maintains up-to-date information on invitation responses, special meal needs, and other guest and contribution data. Creates mailing lists for event mailings and emails. Creates event specific documents including letters, forms, emails, website updates, event-related marketing materials, timelines, and task sheets.
  • Acts as an ambassador of SF Ballet events both internally and externally. Is knowledgeable of all aspects of SF Ballet events in order to provide needed information to purchasers, donors, staff, and the community. Along with Director of Events, acts as a liaison to the Auxiliary and Trustees for Nutcracker Benefit Luncheon, Fashion Show, and other signature fundraising events. Responsible for building and maintaining an online communications system for sharing information among event committees and chairs, and SF Ballet staff. Works closely with BRAVO and ENCORE!. Trains and supervises volunteers to ensure events flow smoothly. Creates comprehensive special events training resources for staff, including documents, group trainings pre-event, and individual trainings for specific event-related tasks as needed.
  • Works closely with Artistic, Development, Marketing, Ticketing, IT, and other staff to maintain an accurate Event, Marketing, and Ticketing calendar and ensure all parties execute duties on task lists.
  • Performs other duties as needed or assigned by Director of Events or Senior Director of Individual Giving.

Education and Experience

  • 3 years' experience in a similar position
  • 2 years' experience with Tessitura or similar database (preferred)
  • 3 years fundraising background (preferred)

Professional/Technical Competencies

  • Produces complete and accurate work reports, spreadsheets and correspondence, and printed materials to meet required deadlines. Strong attention to detail required.
  • Ability to communicate and collaborate creatively and effectively with all levels of staff, volunteer groups, donors, and external parties; both verbally and in writing in a manner that ensures clear and mutual understanding and respect.
  • The ability to build and meet long-range plans, and to anticipate problems before they arise.
  • Utilizes and maintains up-to-date knowledge of word processing, spreadsheet programs and Development Department database, Tessitura.
  • Understanding of non-profit accounting, gift acceptance, and tax deduction standards
  • Applies creativity and innovation to work process.
  • Maintains documentation and files that meet department standards and are readily accessible and understandable by others.
  • Demonstrates sound project management skills, including the ability to organize and manage multiple projects to meet required deadlines.
  • Faces difficult situations with tenacity and supports staff and volunteers.
  • Negotiates favorable results - financial and operational - for the organization by using persuasion, diplomacy, and tact; solves problems and resolves issues.
  • Familiarity with Bay Area donors and vendors desired

Physical Demands

  • Extended work hours with considerable amounts of typing and word-processing, and telephone work. Weekend and evening hours as well as occasional holidays as needed to prepare for and attend various special events.
  • Position requires the ability to work and stand for extended periods of time during evenings at off-site events. Occasional lifting (40 lbs.).

Special Equipment Used

  • PC (Microsoft Word and Excel, PowerPoint), Office equipment, including copier, Tessitura, and Financial Edge.
