Scope: The Executive Coordinator position requires a tenacious self-starter who can anticipate the needs of the Chief of Communications and take initiative to solve problems independently. This position is perfect for an organized and analytical person who possesses strong business judgment and communication skills needed to interact with a variety of people across multiple job functions and levels. The Executive Coordinator manages the administrative needs of the Chief of Communications and the Communications Department including: calendar management for the Chief of Communications; attending meetings and taking notes; scheduling, management and coordination of department-specific systems (i.e. Cision, Meltwater, PoliticoPro, E&E News, TVEyes, and other media databases and subscriptions); managing the hiring process for Communications Department applicants and compiling and distributing onboarding materials for new communications staff; meeting and event planning, record keeping, coordinating trainings, and serving as point of contact for the department. The Executive Coordinator also handles information related to confidential and sensitive matters, including personnel actions, program budgets, bargaining, labor, and management strategy. 


Job Activities include but are not limited to:

  1. Serves primarily as executive assistant to the Chief of Communications, assisting in managing daily organizational tasks, daily calendar and booking travel, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes. 
  2. Provides administrative support for the department, including, but not limited to tracking assigned budgets; reviewing reimbursements, expense reporting and timesheets on behalf of the Chief of Communications; purchasing supplies and receiving and distributing mail; confirming travel logistics; managing Google groups and other internal communications systems and documents; and working with the Finance & Operations Department to develop contracts and process invoices with outside vendors. 
  3. Participates in confidential leadership meetings, preparing pre-meeting materials for review, taking detailed notes, tracking action items, and assisting with the preparation of confidential reports. 
  4. Coordinates incoming inquiries and manages requests through the Media Line, directing callers to the appropriate team members and ensuring timely response rates. 
  5. Provides support, scheduling assistance, and logistical coordination in the execution of department activities, including events, trainings, conferences, offsite meetings, retreats, donor events, and related activities. 
  6. Supports Senior Managers in ensuring effective onboarding and training of new staff. 
  7. Performs miscellaneous duties as required.


Standard Overtime: This job may require occasional overtime to meet special deadlines, projects, other staff absences, or emergencies. Under these circumstances, overtime will rarely exceed 5 hours weekly, or 15 hours on a monthly basis. This position requires an ability to travel.

The successful candidate must have the following skills and experience:

  • Confidentiality, flexibility and exceptional time management
  • Ability to effectively work independently, supervise and organize multiple projects, and simultaneously perform under pressure while paying close attention to detail.
  • Equity Analysis and Practice. You are aware of your group identities and how they have shaped your life and experiences at work. You possess an elevated analysis of how racism and other forms of oppression in society impact relationships, systems and culture and experience and skills for working effectively with colleagues across group identities and position/role.
  • Excellent written and verbal communication skills, including spelling, grammar, punctuation and composition skills, including the ability to give and receive positive and constructive feedback.
  • Ability to deliver consistently high quality and professional customer service to both internal and external stakeholders.


The strongest candidate will have the following skills and experience:

  • Strong technical skills: Proficient with Microsoft Office applications and Google Drive and Google Calendar.
  • At least 3-5 years’ experience working in a comparable administrative or program assistant role.

 

Compensation and Benefits

The salary range for this position is $65,000 - 75,000 annually based on a Region 1 work location of Washington, DC.

The Sierra Club offers a competitive salary package commensurate with skills and experience plus excellent benefits that include medical, dental, and vision coverage, and a retirement savings 401(k) plan.

This is a category 5 exempt, confidential position.
