About the Position:

The Executive Assistant will be responsible for providing high-quality, comprehensive support to the President & CEO, and COO of USGBC, GBCI and Arc. The primary objective of the Executive Assistant will be to ensure that the President &CEO, and COO can effectively and seamlessly execute their role and vision for the organizations. 

This position will manage a broad range of tasks that facilitate the President and CEO’s ability to effectively lead the organization and serve as the primary point of contact for matters pertaining to the CEO, including those of highly confidential or critical nature.


The Executive Assistant will be a vital partner to the President & CEO, and COO, as well as USGBC, GBCI and Arc staff, as they aim to achieve their goals. The Executive Assistant is expected to represent the organization and executive with professionalism, reinforcing USGBC’s people first strategy, maintaining fiscal responsibility, and contributing to a culture of efficiency and follow-through. The candidate should be eager, committed, willing to learn, and willing to go the extra mile.

What you’ll be doing:

  • Work closely with the President & CEO, and COO to understand their priorities and preferences, keep them well informed of upcoming commitments and responsibilities, and ensure effective preparation and follow-up on their activities
  • Prepare and support the execution of the CEO’s and COO’s calendar which accounts for all internal and external commitments, and includes significant domestic and international travel
  • Ensure all executive commitments are scheduled in advance without conflict (incl. board meetings, signature events, priority travel and annual conference, etc.)
  • Research and planning to ensure the President and CEO is connecting with the appropriate internal staff and external contacts during their meetings and travel
  • Track progress against goals and targets as established by leadership
  • Prioritize meetings and prepare meeting and travel briefs as appropriate
  • Write, edit, and send e-mails and other correspondence on the President & CEO’s behalf, including general correspondence such as thank you notes, recognition letters, holiday greetings, birthday cards, etc.
  • Compile and maintain accurate notes and records
  • Follow-through on executive commitments and action items
  • Facilitate virtual and in-person meetings and events, including managing virtual meeting platforms, securing in-person meeting space, coordinating catering, and greeting visitors
  • Coordinate travel and accommodations
  • Ensure timely and accurate expense reports
  • Manage contacts, scan business cards, assist in follow-up
  • Maintain & create standard operating procedures for all relevant Executive Support tasks
  • Assist with special projects as assigned

  • Prior executive support experience
  • Minimum of 5 years professional experience

Position Status: 

  • Full Time, permanent, salaried, benefits-eligible, exempt status
  • Location: 2101 L Street NW, Washington, DC
  • Hours: Monday through Friday, 9:00 am to 5:30 pm EST, 40 hours per week, including occasional evenings and weekends
  • Travel – upon request and approval
