    This is a full-time exempt position with all standard Roundabout benefits. The salary range is $63,000–$68,000 annually.

    Roundabout Theatre Company, the nation’s largest not-for-profit theatre, seeks a thorough and personable individual to join the company’s Human Resources Department as the Onboarding and Benefits Specialist. Reporting to both the Director of Human Resources and Senior Payroll Manager, this position is an essential part of the overall effectiveness of the Human Resources and Finance team.

    The Onboarding and Benefits Specialist will work with departments throughout the organization, overseeing the ADP Onboarding process. This position is also responsible for assisting with the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, short- and long-term disability, and 401(k) plan. The ideal candidate will be extremely organized and detailed oriented; possess patience; be knowledgeable about benefits and employment laws; and meet weekly and monthly deadlines. This is a permanent full-time position in our midtown office.

    This is some of what the Onboarding & Benefits Specialist may do:

    Benefits Responsibilities:

    • Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
    • Performs quality checks of benefits-related data.
    • Assists employees regarding benefits claim issues and plan changes.
    • Distributes all benefits enrollment materials and determines eligibility.
    • Enrolls employees with carriers and process life status changes.
    • Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
    • Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability, PFL and FMLA.
    • Assist in the preparation of 1095 forms.
    • Ensures compliance with all federal, state and local regulations related to benefits, including ACA and Secure Act 2.0
    • Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Manages the annual catch-up contribution enrollment.
    • Assists with the open enrollment process.
    • Prepares and approves group insurance bills for allocation and payment.
    • Other tasks as assigned.

    Onboarding Responsibilities:

    • Manage entire New Hire process in ADP Workforce Now.
    • Handle onboarding of new hires, transfers, promotions, data entry, and review of employment documents.
    • Prepare and review new hire and orientation paperwork.
    • Run background checks on new administrative staff.
    • Review onboarding documents for completeness including I-9, E-Verify, and work/education verification.
    • Review and process employment actions in ADP Workforce Now (new hires, promotions, salary adjustments, data changes, etc.) and send corresponding notification letters.
    • Create electronic employee files for all employees and ensure personnel files are in compliance.
    • Audits personnel files for any missing documents required by regulatory agencies; assist in transfer of personnel files to offsite storage facility.
    • Serve as the key point of contact for each new hire and triage all questions that arise.
    • Work collaboratively with hiring managers to on-board all new employees.
    • Collaborate with the Payroll Manager to accurately classify and set-up each new hire in the HRIS System.
    • Promote a positive and pleasant attitude conductive to the workplace, which enhances and furthers the Mission, Vision, and commitment to EDI/AR.
    • Other tasks as assigned .

    This is some of what the Onboarding & Benefits Specialist should bring:  

    • Knowledge of employee benefits and applicable laws.
    • Excellent written and verbal communication skills.
    • Excellent organizational and time management skills.
    • Patience and grace when interacting with different personality types.
    • Ability to keep information confidential.
    • Proficient with Microsoft Office Suite or related software.
    • Experience with HRIS systems. ADP Workforce a plus.
    • 5 years’ experience in HR and/or benefits administration.
    • Willingness to engage with staff both in person and virtually
