Descripción

The Assistant to the Executive Director (AED) supports the Executive Director (ED) in maximizing efficiency and focusing on top priorities by providing high-level administrative support, making time, information and decision-making more effective and also by managing occasional special projects. The AED anticipates problems, ensures that the ED is always prepared and rarely surprised, is sensitive to issues that require diplomacy and is a doer, with experience and comfort interacting with principals. The AED creatively solves any problem that gets thrown her or his way with relentless execution. The AED is nimble, transparent and thrives in a servant leadership environment.


Primary Responsibilities

  • Provide quality administrative assistance to support the ED, enabling the ED to be highly effective in executing role and responsibilities
  • Serve as a liaison between the ED, staff and Board of Directors
  • Support the ED's leadership of team, board and other meetings by managing logistics, preparing agendas, and summarizing deliverables, including collection of in-house staff presentations, program reports and reports to the board and taking minutes
  • Ensure that the ED is prepared for meetings and events with the necessary research, information, materials and communications to effectively engage with staff, board, donors, partners and other key stakeholders and when appropriate, serve as proxy
  • Assist in the management of the diary of the ED (schedule calls, plan meetings, arrange travel, etc), planning, coordinating and helping to ensure that the ED’s schedule is thoughtfully and effectively constructed with an eye to supporting expressed priorities
  • Provide a ‘gatekeeper’ and ‘gateway’ role, creating win-win situations for access to the ED’s time and attention, including resolving on behalf of the ED to situations that arise, both internal and external
  • Research, prioritize, and manage responses to incoming correspondence and requests, including frequently composing, proofreading, and finalizing correspondence, donor prep sheets and acknowledgments and documents, using experience and judgment
  • Meticulous management of records and contacts 
  • Occasionally represent the ED with key stakeholders
  • Draft op-eds and articles and other external communications for the ED

  • proficiency in G-Suite programs
  • willingness to accommodate evening and weekend work
