Contract and Compliance Specialist

 Community Initiatives is an Oakland based nonprofit organization providing more than 100 different nonprofit clients with fiscal sponsorship, including tax-exemption, accounting and financial oversight, risk management and insurance, legal compliance, grants management, and human resource services. Our fiscally sponsored projects (FSPs) represent various nonprofit sectors––arts and culture, education, environment, health, human services, and public affairs. 

 Summary:

The Contract and Compliance Specialist supports the Legal Director in ensuring the seamless compliance and operations of Community Initiatives portfolio of fiscally sponsored projects (FSPs). This full-time position is responsible for timely review of independent contractor and fee for services agreements in support of Community Initiatives’ FSPs. The role will coordinate filing and tracking of state charitable registrations, tax exemptions, and other local registrations as required. 

 The Contract and Compliance Specialist delivers services to clients while providing advice to management for improving services, client satisfaction and mitigating compliance risks. They collaborate with the team to improve and clarify client-facing communication and processes.

 Essential Job Functions:

• Resolve problems as they arise by actively listening to clients and proposing solutions based on comprehensive understanding of the client’s circumstances, desires, and issues.
• Mitigate risk and ensure funder compliance by overseeing contract and grants management.
• Provide guidance regarding fiscal sponsorship compliance and industry best practices.
• Prepare and edit contracts between Community Initiatives and potential clients.
• Assist Accounting with contract compliance with respect to billing and invoicing.
• Research regulations to guarantee contracts are updated and in compliance with current laws.
• Coordinate with clients to guarantee terms of contracts are fulfilled in compliance with the contract terms and regulations.
• Maintain a comprehensive contract repository within a contract management tool.
• Update the contracting workflow process over time to ensure scalability and reporting on contract stages.
• Interface with other functional groups to ensure consistency and integrity in contract processing.
• Ability to consistently provide clear and concise written and verbal communication.
• Ability or aptitude to utilize software applications to complete tasks.    

Qualifications

• Demonstrated ability to prioritize amongst multiple commitments simultaneously in a fluid environment.
• Basic understanding of nonprofit financial management and best practices.
• Strong project management skills with high attention to details.
• Comfort with reading and understanding legal contracts with an eye for risk management and compliance.
• Outstanding communication skills, both verbal and written, to effectively communicate complex concepts in a clear, understandable manner.
• Strong interpersonal skills and an ability to build rapport with partners and stakeholders.
• Advanced analytical abilities and problem-solving skills to quickly evaluate complex issues and identify options for resolution.
• Ability to work independently and as part of a dynamic team.
• Thrives in a fast-paced environment.
• Consultative, flexible and creative.
• Knowledge of MS Office Suite and Salesforce.
• 3-5 years of relevant work experience in nonprofit management, client/donor customer service, consulting, or business administration.
• B.A./B.S. or higher degree, or equivalent experience.
• Experience interfacing with fiscally sponsored projects (clients) preferred.

 This full-time position is currently remote, however, will require openness to a hybrid work schedule in the future.
