The Event Operations Specialist collaborates with the Senior Assistant Director, Event Compliance for Fiscal & Regulatory Management to create, manage, and update all event-related policies/procedures and works closely with the Division of Philanthropy teams to ensure compliance with these policies. Responsible for supporting the entire Division with reaching financial goals. Dana-Farber is pursuing an ambitious, multi-year fundraising effort to change the future of cancer research and care: The Dana-Farber Campaign. This $2 billion campaign is the largest in the Institute’s history and one of the largest ever in the U.S. focused solely on cancer. Philanthropy raised through The Dana-Farber Campaign will accelerate the Institute’s strategic priorities by supporting revolutionary science, extraordinary care, exceptional expertise, and essential opportunities—helping us prevent, treat, and Defy Cancer. This position is considered remote, up to 1 day in the office at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in Massachusetts, New Hampshire, or Rhode Island.



·        Together with the Senior Assistant Director, enforce all community fundraising event policies and procedures within Philanthropy and act as the secondary point of contact for Philanthropy staff.

·        Review, track, and monitor 700+ annual community fundraising events to ensure financial stewardship and compliance.

·        Monitor DFCI Event Support inbox and respond to inquiries in a timely manner.

·        Prepare and send letters of approval to community fundraising event organizers on behalf of the Jimmy Fund.

·        Provide processing instructions for event-related gifts on a daily basis.

·        Prepare gift reports for upload into ClearView donor database and issue acknowledgement letters for 3,000+ endorsed event gifts.

·        Act as site administrator, managing various online payment processors and fundraising websites.

·        Oversee mobile and onsite payment processing to ensure compliance with Payment Card Industry standards and reconcile for accurate gift processing; provide staff training as needed.

·        Oversee the trips and prizes program, awarding prizes valued at $600+; prepare, collect, and process Certificates of Intent for 1099 reporting.

·        Support the Jimmy Fund & Division of Philanthropy in facilitating contests.

·        Contribute to the annual and continuous review and reconciliation of all community fundraising events as requested.

·        Conduct the annual survey of all applicable financial institutions to ensure accuracy of current bank account inventory.

·        Perform all administrative tasks related to community fundraising event compliance.

·        Maintain highest level of donor confidentiality and accountability.


·        Reports to the Senior Assistant Director, Event Compliance for Fiscal & Regulatory Management. This position will seek major decision-making authority from direct supervisor, however, independent decision-making on day-to-day tasks and exercising good judgment is required.



·        Bachelor’s degree preferred, with 1-3 years of professional experience and previous exposure to fiscal and/or regulatory affairs preferred.

·        Strong interpersonal skills with an emphasis on effective written and verbal communication and a commitment to providing excellent customer service are necessary.

·        Attention to detail is key, as is the ability to stay organized while managing a variety of projects.

·        Must be able to recognize priorities and manage time accordingly, with the capacity to work both independently and collaboratively as part of a team.

·        Solid computer skills and competency in Microsoft Office, specifically Microsoft Excel, are necessary.

·        This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events. Experience with diverse donors is a plus.
