Key Position Details

• Compensation for this position is in the range of 55-60K.
• The anticipated start time for this position is summer 2022.
• Hybrid office/remote role based in our Boston, MA headquarters office. The employee will be required to be in the office one to two days per week (with some flexibility on the days as needed) and periodic additional days as indicated by our overall business needs, including being able to be physically present in the office to handle timely/emergency situations.

Job Summary

The Accounting Operations Generalist (AOG) supports the Senior Accounting Operations Director and Accounting Staff in general management of fixed financial reporting processes, as well as providing flexible support and assistance to the daily operations of Accounts Payable and Payroll. This position is divided into 2 halves. Roughly 40% of the employee’s time will be spent completing regular month-end close tasks including journal entries and reconciliations. The other 60% will be spent providing floating flexible support to AP and Payroll, including triaging staff inquiries/complaints and stepping in wherever needed to participate in core AP and Payroll processes when gaps exist. The AOG will thus be fully cross-trained in AP and Payroll processes.

Responsibilities

Regular Month End Close and Financial Reporting – 40%

• Complete monthly journal entries and reconciliations including allocated payables, prepaid expenses, accrued expenses, employee benefits, and Payroll liabilities.
• Complete uploads into Workday to facilitate payment of monthly rents, utilities, and technology expenses.
• Provide general support and assistance to any AP and Payroll projects and initiatives.
• Provide training as needed to Finance Points on various AP and Payroll procedures.
• Assist with AP- and Payroll-related audit schedules and materials as needed.
• Perform other Accounting support duties as required.

Accounts Payable Support – 50%, variable by week

• Able to carry out full cycle Accounts Payable including invoice review, coding, approvals, data entry, disbursements and filing. Substitute for absent/vacant AP staff wherever needed.
• Process weekly disbursements via manual checks, wires, and ACHs.
• Receive and process requests to fund employee health and dental plans on a weekly basis.
• Monitor, track and advise management of critical payments due related to essential City Year operations.
• Communicate with vendors and site staff to triage and address issues as needed.
• Research and respond to inquiries (internal & external) regarding invoice/check status, as well as, inquiries that require additional explanation or supporting documentation.

Payroll Support – 10%, variable by week

• Able to complete all elements of the weekly Payroll process, including collection, processing and approval of all timesheets. Substitute for absent/vacant Payroll staff wherever needed.
• Provide support to managers and employees in the submission and approval of time.
• Follow up with staff to resolve missing and/or incomplete timesheets for staff and corp members.

Requirements:

• Bachelor’s degree in Accounting or comparable field of study plus 2 or more years of accounting operations experience including exposure to AP and Payroll, OR high school diploma plus 5 or more years of experience
• Must have ERP Accounting system experience
• Experience working within and in compliance with Generally Accepted Accounting Principles
• Strong understanding of internal controls and procedures
• Superior communication and interpersonal skills, including the ability to interact effectively with all areas and levels of the organization
• Execute multiple tasks and adhere to strict deadlines in a fast-paced, changing environment
• Ability to be self-directed and work independently in a hybrid remote/office-based environment
• Superior organizational skills and the ability to manage multiple tasks simultaneously
