JOB SUMMARY 

 

The Associate Director provides high-level support to various Finance and Administration (F&A) and People and Cultural Affairs (P&C) operations, and facilitates the payroll processing activities at American Rivers, ensuring that payroll processing procedures meet standard compliance regulations and follow best practices. In conjunction with this key organizational function, the Associate Director will conduct regular platform onboarding and orientations for new employees, maintain administrative database integrity, and develops strategies to improve internal workflow efficiencies. The Associate Director will work in conjunction with the F&A and P&C teams to assist with organizational compliance matters, which includes oversight of various P&C databases, taking a rotating lead in payroll processing, assisting with annual functions such as the 403b audit, benefits open enrollment, and other duties as assigned. The ideal candidate is outcomes-driven, organized, detail-oriented, customer-friendly and committed to American Rivers’ mission and core values.  

 

PRINCIPAL RESPONSIBILITIES:   

Payroll Processing and Administration: Working with the Associate Director for Contracts and People and Cultural Affairs, the Associate Director will manage payroll processing procedures and make recommendations for its continued improvement. This includes, but is not limited to, filing all payroll related documentation, preparing payroll checklist items, maintaining the payroll database and payroll records, researching payroll compliance issues, and communicating payroll changes with staff. The position will serve as a primary P&C administrator on the ADP Workforce Now platform. In this capacity, the Associate Director will review new and current employee data entry, and as part of shared payroll processing duties contribute to timecard and payroll data review. Additionally, the Associate Director will work with ADP to ensure organizational compliance with state employment compliance matters, including state-specific pay statement requirements, state and local tax withholding registration, and paid leave policies. The Associate Director will collaborate with P&C and F&A to process payroll related items such as new hires, terminations, benefits changes, tax jurisdiction changes, and other payroll data adjustments. 

 

Payroll Reporting and Recordkeeping: Working with both P&C and F&A, the position will help maintain payroll databases and records, be the lead coordinator for the 403b audit, contribute to the annual Workers’ Comp audit, and assist in providing payroll related questions from staff and third parties. The position will regularly review the organization’s state tax compliance, ensuring all state tax agency registrations are up to date, filing state tax agency notices, and monitoring changes in state employment regulations.  

 

Benefits Administration: Working with P&C, the position will help maintain the benefits administration database, Employee Navigator, and work closely with our benefits broker to help respond to employees’ benefits inquiries. The Associate Director will assist with onboarding and offboarding employees from Employee Navigator, keep all benefits resources and documents up to date and on file, ensure all required benefits notices and materials are shared with new hires and terminated employees, and assist employees experiencing qualifying life events. The Associate Director will help facilitate the annual Open Enrollment process and ensure all payroll benefits premiums are accurately reflected on payroll.  

 

 

MINIMUM QUALIFICATIONS 

 

  • Requires experience and demonstrated proficiency in the following areas: project management, verbal and written communications, critical thinking, judgment and dependability; 
  • Demonstrated proficiency for adhering to and promoting core values
  • Performs related duties as required; 
  • Self-starter able to work independently and juggle multiple projects and priorities;  
  • Able to advocate for personal work-nonwork balance needs, including taking necessary breaks for health or other conditions;  
  • A Bachelor’s degree and a minimum of 2 years of relevant experience, or a minimum of 3 years of relevant experience.


LOCATION

Washington, DC hybrid preferred, though remote may be considered.


COMPENSATION AND  BENEFITS

The hourly range for this position is not to exceed $30.53 per hour depending upon qualifications and experience.
