The Role

The Assistant Manager, Institutional Support works in close collaboration with the Chief Philanthropy Officer, Senior Director, Philanthropy, and Corporate Relations Associate in raising $2-$3 million annually from private and corporate foundations and government agencies. The position manages grants, stewards institutional donors, and helps to build a pipeline for increased institutional giving for the Annual Fund, special projects and campaigns.

Primary Responsibilities:

·       Manage and steward a portfolio of foundation and government funders and collaborate with the Corporate Relations Associate in the stewardship and management of a portfolio of corporate foundation funders 

o   Write compelling letters of inquiry, grant proposals, interim reports, and final reports for institutional funders, managing tight deadlines and multiple priorities simultaneously

o   Manage the acknowledgment process for institutional funders, which includes drafting letters for the Chief Philanthropy Officer, Senior Director, Philanthropy, and Executive Director

o   Track and monitor fulfillment of institutional donor benefits and crediting where appropriate

o   Manage Institutional Donor listings for Playbill, Press Announcements and other communications, as well as listings appearing on ABT’s Website

·       Regularly work cross-collaboratively with ABT’s finance, education, artistic, and administration departments, in addition to the Jacqueline Kennedy Onassis School to obtain materials and data for proposals, reports, and letters

·       Represent ABT at institutional donor events and occasionally at meetings

·       Maintain institutional “library,” both digitally and hardcopy where appropriate, of grant agreements, meeting notes, acknowledgments, award letters, other notifications, and important correspondence

·       Maintain institutional database records in Raisers Edge, ensuring emails, addresses, and relationships of funders to individuals are up to date, and ensuring the institutional task list is accurate with report and proposal submission dates

o   Maintain lists of institutional donors and prospects to receive invitations to cultivation events and ABT communications 

·       Act as a thought partner to Senior Director, Philanthropy helping to create new strategies and initiatives to retain current funders and build a robust prospect pipeline

o   Research and identify new sources of institutional support and present findings where appropriate

·       As needed, prepare draft communications, correspondence, and meeting preparation for the Senior Director of Philanthropy, Chief Philanthropy Officer, and Executive Director 

·       Manage the Institutional Support intern

·       Be an active participant in department-wide activities such as cultivation and fundraising events

·       Perform other duties as assigned.

Position Qualifications:

  • Bachelor’s degree and minimum of 3-4 years of experience in not-for-profit fundraising and development required; grant-writing experience required
  • Must have knowledge of general fundraising principles, including the solicitation of corporate, foundation, and government grants
  • Must be familiar with prospect research tools
  • Excellent verbal and writing skills and an exceptional capacity for detail are required
  • Ability to manage and meet tight deadlines
  • Ability to manage multiple projects simultaneously
  • Ability to work collegially across departments and across the organization
  • Excellent interpersonal skills
  • Must be able to work in a fast-paced environment and have an energetic, proactive, optimistic, collaborative “roll-up-your-sleeves” approach to work
  • Proficiency in Microsoft Word, Excel, and Power Point are required. Proficiency in Raiser’s Edge is highly desirable
  • Some weekend and evening hours are required, especially during performance seasons
