Manager, Program Operations

Job Overview:

Over 25 years, Save The Music (STM) has implemented a comprehensive systems-level approach to create positive change in America’s public schools. STM combines investments of instruments and resources to jumpstart music programs, support music teachers’ development and day-to-day work, and advocate for music as a necessary component of every student’s education. The Manager, Program Operations will be responsible for the operations of the Program teams grant making function - including school grant agreements, purchase and delivery of instruments and other grant components, vendor management, manufacturer relations, and other program-related operations.

Responsibilities and Duties:

Grant Fulfillment Operations

  • Overall responsibility for grant-making steps involved with the Programming team – including but not limited to a) negotiating/finalizing agreements between STM and school districts, b) purchasing and/or securing grant contents, c) ensuring the deliveries of the grant contents, d) distributing marketing materials to grantee schools.
  • Execute the purchasing, storage, fulfillment, and the payables process for school grants to be delivered on time and on budget at the start of each school year
  • Manage relationships with instrument manufacturers and vendor/local retailer partners related to vendor onboarding, pricing, purchase orders, invoicing and in-kind donations for delivery of grant packages to schools.
  • Manage 25+ Music Technology suppliers; research suppliers and engage prospects to reach the best possible relationship for STM in terms of product quality, product fulfillment, pricing, and in-kind donations.
  • Update key-data program documents (purchase values and timing): 1) Instruments purchased tracking; 2) Grant agreement database; 3) Fair Market Value documentation.; 4) Purchase Orders.
  • Work annually with the CPO and colleagues to refresh grant contents (particularly music tech grants).

Program Operations

  • Produce all forecasted and actual spending reports for Management and for STM’s annual audit.
  • Manage any necessary transactions for program activities.
  • Manage program related assets.
  • Carry out any additional special assignments as directed by The Chief Program Officer.

Qualifications:

  • Passion for music education and youth development especially in historically marginalized communities
  • Bachelor’s degree required preferably in the arts, humanities, or management.
  • Minimum of 4 years of cross-functional project management and music industry experiences
  • Excellence in working within a dynamic, fast paced organization and manage multiple priorities simultaneously.
  • Exceptional attention to details
  • Excellent interpersonal skills with high emotional quotient (EQ)
  • Flexible and adaptive to changing priorities and new opportunities.
  • Strong proficiency with Microsoft Office applications. Proficiency with Salesforce is preferred and any knowledge/experience with Asana and Slack is a plus.
  • Any accounting experiences is a plus.

This position will be based in our NYC office with a hybrid work schedule.

Salary Range

$67,000-$75,000
