ABOUT THE CONSERVANCY

The National Parks of New York Harbor Conservancy is the official 501(c)(3) nonprofit partner of the National Park Service and its 24 sites on New York Harbor and in the boroughs of New York City. Its mission is to improve access to these special places, enhance the visitor experience with transformational programs and develop earned revenue initiatives toward their sustainability.


DUTIES AND RESPONSIBILITIES

This person will work to support a hands-on office in an administrative capacity, and also interface with stakeholders and constituents. They will be a valued colleague, supporting both the President and consulting team and the activities of the full organization. This position is ideal for an early career administrative professional who wants to build experience in fundraising and running an efficient operation. The position is full-time onsite at 26 Wall Street in Lower Manhattan. Office hours are 9am-5pm. However, we are currently working remotely until further notice.

Responsibilities and tasks include:

Executive Assistance 30%:

  • Manage the President’s appointment calendar and contacts list.
  • Handle all logistics for in-person and remote meetings, including travel.
  • Attend meetings and act as note-taker as required.

Development Assistance 35%:

  • Assist and support the President to execute strategies across all campaigns.
  • Maintain donor communications materials, including stewardship of pitch decks, donation acknowledgements, and personal outreach materials.
  • Maintain and update donor database.
  • Support the President in the cultivation of board members and donors and in the maintenance of these relationships.
  •  Assist the President in creation and editing of donor materials and presentations.
  • Track all gifts, financial and in-kind, and coordinate acknowledgements and receipts.
  • Conduct grant prospect research .
  • Support team in the planning and execution of special events, including those which require after office hours attendance.

Office Assistance 35%:

  • Monitor general email inbox; answer telephone; check voicemail; open and distribute postal mail.
  •  Update websites with basic information and coordinate web revisions with consulting designer.
  •   Manage social media on all platforms (Twitter, Instagram, Facebook).
  • Coordinate organizational calendar.
  • Manage vendor accounts, create/update registrations and other maintenance tasks.
  • Purchase office supplies and maintain equipment and technology with vendors and external support.
  • Maintain office files, hardcopies and all organized filing systems online (Google Drive, Dropbox).
  • Provide general remote administrative/IT support to President.
  • Act as liaison with Federal Hall building staff, facilities maintenance and administration.
  • Provide general support to the other members of the staff, consulting team and National Park Service as instructed.


Qualifications: 

  • Associate’s or Bachelor’s degree preferred.
  • Two years of relevant professional office experience.
  • Demonstrated knowledge of administrative assistance and of supporting an efficient and organized office.
  • Comfortable handling confidential information.
  • Strong interpersonal, written, and verbal communications skills.
  • Comfortable interfacing with stakeholders and the public.
  • Strong attention to detail, organization, and proactive problem-solving. 
  • Ability to set priorities, follow through, balance multiple tasks, and meet multiple deadlines.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Must have proficiency with Microsoft Office including Excel and Google Office Suite platform.
  • Experience with donor databases a plus.

As part of onboarding, successful candidate will be asked to complete a government background check in order to receive required clearance to work at our offices which are located in federal building. Receiving this clearance is mandatory and there are no exceptions granted. The successful candidate must also be able to provide proof of eligibility to work in the U.S. without employer sponsorship. There will be a brief probationary period, pending fulfillment of these two requirements.

Commensurate with experience

Compensación

Salary commensurate with experience, but will be atleast $40,000. Benefits include 100% health insurance, including vision and dental plan for employee, and contribution to spouse and dependent coverage. Two weeks paid vacation beginning first year, sick days, personal days and a 5% employer 403(b) match when vested. Life & Accidental Death & Dismemberment, long-term & short-term disability insurance included. Ten federal holidays as well as the week between Christmas and New Year’s off. A monthly MTA Metrocard or a travel stipend of equal value, and fully paid cellphone are provided.
