Today, Spark the Journey supports more than 600 mentees as they enter young adulthood. Spark the Journey’s unique mentorship approach fosters long-lasting relationships between mentors and mentees as young adults choose and pursue the education, career path, or personal goals they want to achieve—with a community of support behind them. 

About the Role  

The Development & Operations Coordinator is responsible for the coordination of day-to-day tasks that are foundational to achieving our fundraising, stewardship and operational goals. This position involves a combination of organizational, communication, and interpersonal skills, as well as the ability to handle confidential information with discretion.  Specifically, the Development & Operations Coordinator oversees Spark’s donor database (Salesforce), manages gift processing, office management, and assists in event planning and execution. The coordinator will report to the Development Manager but will complete tasks as assigned by the President & CEO, as well as the Operations team. 


Fundraising & Data Management - 70% 

  • Coordinate donor stewardship: write and process acknowledgement letters, coordinate thank-you notes, calls, and gifts, and facilitate the integration of student and mentor voices into donor materials. 
  • Maintain highly accurate and current donor data in Salesforce that effectively tracks key information, cultivation activities and histories, and solicitation and reporting calendars 
  • Collaborate with Spark’s Data & Systems team to troubleshoot issues and implement project improvements, as well as oversee SharePoint file management 
  • Reconcile gifts between Salesforce and QuickBooks with the Finance team 
  • Revise for clarity and proofread donor collateral, including email and direct mail communications to successfully execute fundraising plans.  
  • Provide logistical support for Spark events including volunteer management, RSVP management, soliciting donations, working with sponsors, marketing and more. 
  • Coordinate meeting management, including booking conference space, sending and confirming invitations, preparing agendas and handouts, serving as host for remote meetings, managing presentation materials on laptop and smart TV for in-person meetings, taking notes, distributing action items, and ordering food 
  • Other administrative responsibilities as necessary to support the President & CEO. 


Operations: HR, Finance and General Office Management - 30% 

  • Coordinates logistics and presentation for Board of Directors and staff meetings. 
  • Manage phone systems including main lines, cell phones, voicemail routing 
  • Receive and sort incoming mail and deliveries daily, and manage outgoing mail 
  • Send organizational correspondence; set up and manage in person and online (Zoom, Google Meet and Microsoft Teams) meetings 
  • Assist with HR tasks, including scheduling interviews, sending emails, and other assignments, as needed. 
  • Manage invoices and reimbursement requests submitted by employees  
  • Other administrative responsibilities as necessary to support the team and the organization 



  • 1-2 years of professional experience within fundraising and/or donor relations, or 2 years of experience as a Project Coordinator in assisting or supervising projects of increasing complexity required. 
  • Experience working with Salesforce, Microsoft Office, Zoom, which are tools used by Spark the Journey to manage project workflows and collaboration across teams.  
  • Demonstrated experience in establishing processes to manage data and improve data integrity.  
  • Excellent written, analytical, research, problem-solving and organizational skills.  
  • Strong organizational and time management skills with a demonstrated ability to meet deadlines and manage multiple projects. 
  • Project management skills: the ability to stay on top of multiple projects, anticipate obstacles, identify and involve stakeholders appropriately, and use resources wisely. 
  • Ability to maintain confidentiality as you will be working with sensitive information and interacting with internal and external stakeholders. 
  • Ability to effectively prioritize time and meet deadlines. Highly reliable with strong organizational skills to manage a large number of documents and information. 
  • A strong team player who is flexible with duties as they evolve. 
  • Passionate about Spark’s mission. 
  • Previous experience in education, youth development or nonprofits preferred. 
  • Availability to attend occasional evening and weekend meetings/events. 
  • Ability to work 9 am - 5 pm at the Spark the Journey office one day a week (only applicants living in the Washington, DC area will be considered).

How You Will Be Compensated 

The starting salary range for this position is $50,000 - $60,000 annually, depending on skills and experience brought to the role.
