University City District (UCD) is a non-profit, special services district that leverages a unique partnership of universities, health systems, large and small businesses, and community groups to invest in public spaces, address public maintenance and public safety issues, bring life to commercial corridors, promote job growth and innovation, and connect residents to career opportunities; by way of the West Philadelphia Skills Initiative (WPSI/Skills Initiative).

The West Philadelphia Skills Initiative (WPSI/Skills Initiative) is a nationally recognized workforce intermediary. We implement custom talent solutions focused on connecting the City’s talent to opportunities within prestigious companies, organizations, and institutions. Through partnerships with local organizations and businesses, WPSI creates pathways to employment and fosters economic mobility.

As a Recruitment Coordinator at the Skills Initiative you will play a pivotal role in supporting our recruitment efforts to identify, engage, and onboard talented individuals from the community into our programs. Reporting to the Senior Manager, Employer Services, you will work closely with the Manager of Applicant Experience to implement recruitment strategies, manage logistics, provide administrative support, and ensure a seamless applicant experience throughout the recruitment process.

Recruitment Strategy and Timeline:

· Collaborate with the Recruitment Team to execute recruitment strategies and adhere to established timelines.

· Maintain updates in project management tools for effective tracking and reporting.

Recruitment Logistics:

· Assist in coordinating recruitment logistics to meet projection outcomes and deliverables.

· Review applications using a rubric for all recruitments

· Support interview days and assessments through scheduling, space management, technology set up, welcoming and supporting applicants, and troubleshooting issues as they arise

Administrative Support:

· Provide administrative support to the Recruitment Team including managing documents, scheduling meetings, and maintaining data input and quality.

Data Management and Onboarding Coordination:

· Work closely with data support and recruitment teams to enhance data collection systems

· Ensure applicants submit required documents and maintain tracking of all application materials

· Coordinate onboarding processes for successful recruitment outcomes.

Information Session Support:

· Support information sessions whether virtual or in person

· Manage the comment section during virtual sessions by sharing important information and recruitment links

· Track information session attendees and manage follow up responses

Applicant Experience:

· Manage email responses regarding recruitment inquiries

· Assist applicants with questions or completion of applications

· Serve as a backup representative for WPSI at community events for targeted recruitment opportunities if assigned staff is unavailable.

Participant Agreement Meeting (PAM) Logistics:

· Work closely with the Manager of Applicant Experience to prepare for PAMs

· Manage applicant invitations and attendance

· Prepare documents and folders and collect and upload completed documents to Salesforce

· Prepare documents and folders for WIOA registrations or technical training enrollments when required

· Provide ongoing support to the Recruitment Team to ensure a smooth applicant experience and meet recruitment outcomes

Job Skills & Qualifications

Required

· Attention to Detail: Ability to pay close attention to detail and maintain accuracy in data management and administrative tasks.

· Organizational Skills: Excellent organizational skills to manage multiple tasks and deliverables in a dynamic and fast-paced environment.

· Collaboration: Ability to work collaboratively and effectively as part of a team to achieve recruitment goals.

· Confidentiality: Capacity to handle highly confidential information and documents with discretion and professionalism.

· Multitasking: Ability to multitask and prioritize tasks effectively during multiple recruitment cycles.

Preferred

· Salesforce or other data management system experience

Technology Competencies

· Microsoft Office Suite including Teams and Planner

· Salesforce strongly preferred

Although the above competencies are preferred, training and support on all systems will be provided.

Salary for this role is $65,000.
