Through a combination of mentoring and transformative experiences, Summer Search supports young people to successfully transition from adolescence into adulthood. We aim to unleash the potential of our young people while also building a toolkit for navigating and challenging systemic barriers to higher education and career opportunities.

 

THE OPPORTUNITY

Summer Search NYC is seeking a Summer Program Manager to ensure the smooth execution of the summer experience component. This hire will facilitate all logistics of life-changing summer experiences --- from wilderness trips to international travel program -- for our high school students. This is an ideal position for someone who loves details and logistics, and is eager to join a team that is committed to social justice and the students we serve.

Specifically, the Summer Program Manager will:

  • Plan and manage the annual calendar for summer program operations.
  • Ensure eligible students are matched with summer experiences in time for them to apply and prepare.
  • Support Program Associates to respond to summer-related student needs, maintain data integrity, and complete summer programs related tasks in a timely manner.
  • Ensure that all necessary documents and itineraries are shared with summer partners and summer on call team by deadlines.
  • Coordinate all logistics of pre- and post-trip student events, such as the fitness prep, summer trip orientations, and parent info sessions.
  • Provide training and ongoing support to program staff in order to facilitate their involvement in summer trip preparation and student debriefing, including creating schedules, workflows, and check lists for key milestones.
  • Respond to challenges related to trip logistics (e.g. student registration, insurance forms, travel plans), collaborating with program staff and summer partners to troubleshoot issues and implement timely solutions.
  • Use Salesforce database to track the student experience application process for all students attending summer experiences and trips and use that data to share updates/direction with mentors.
  • In partnership with the Associate Director of Program Partnerships, develop, implement, and evaluate process improvements intended to streamline and scale existing operations.
  • In partnership with Associate Director of Program Partnerships, evaluate and strategize how to support program partners to offer programming that is safe spaces for Summer Search students and align with Summer Search’s logic model.
  • Actively participate in a national cohort of summer program staff, sharing best practices from the New York program and contributing to the ongoing improvement of this work.
  • Provide regular support for special projects that support other aspects of the program, such as student outreach, college access, and college success.
  • Other duties as assigned.

 

WHO YOU ARE

The Summer Program Manager calls for a highly organized individual who is committed to program quality. Specifically, great candidates will bring:

  • EXPERIENCE: At least 2 years of experience in a project management role and 1 year in an operations or administrative role, ideally in a nonprofit, experiential education, travel program, or similar organization.
  • ORGANIZATIONAL SKILLS: High attention to detail and ability to juggle multiple workstreams and keep track of deadlines and deliverables. Completes tasks in a timely manner and work to hold others accountable to their tasks.
  • JUDGEMENT AND PROBLEM-SOLVING SKILLS: Diagnoses and addresses problems head-on, with the agility to respond to unexpected changes in a thoughtful and calm fashion.
  • CUSTOMER SERVICE ORIENTATION: Proactively addresses user (e.g. staff, students, external partners) concerns and needs. A “can do” attitude, and responsiveness and follow-through. Prior experience working with external vendors/partners is a plus.
  • TEAMWORK: Demonstrated ability to coordinate team member participation on projects, delegating tasks and communicating clear expectations for others.
  • TECHNICAL KNOW-HOW: Proficiency in database and Microsoft Office programs, including the ability to manipulate data and create reports in Excel. Salesforce experience is a plus.
  • CULTURAL HUMILITY: Understanding of systemic and institutionalized racism facing communities of color, and the historical context of privilege and power in America. Ability to apply critical analysis and sensitivity in engaging youth, staff, school and program partners around these topics.

LOCATION AND OTHER REQUIREMENTS

Work hours are Mon-Fri 10am-6pm with occasional weekend and evening special events. Due to the COVID-19 pandemic, this position will initially work three days from home and two days in our Manhattan office. After our office fully reopens, the number of days expected to be in the office will likely increase. Summer Search requires all of its staff be vaccinated against COVID-19. Employees who are unable to be vaccinated due to a medical reason or sincerely held religious objection may be able to qualify for an exemption, consistent with state and federal law.
