    Kairos is a small, nimble, and growing team. Our team consists of ten full-time staff people and a few contractors, with collaborative input and clear decision makers. We are still growing and learning and are looking for someone who will dive in and help shape our operations work for years to come.

    Role Information

    The Kairos Operations Manager understands that strong coordination, logistics, and systems are a manifestation of our core values; and that success in these areas is vital to our movements and organizations. The Operations Manager must be able to manage a distinct and complex project with relative ease by working collaboratively with their colleagues, offering solutions to problems, and proactively communicating with stakeholders. They are also continuously monitoring our systems to ensure our organizational infrastructure is strong and is furthering the work of the Kairos team.

    A strong candidate for this position is growth-oriented, takes a collaborative approach to solutions, is level-headed when challenges arise, and can maintain the highest level of confidentiality. This is a great role for someone who wants to support movement building; thinks strategically; and is enthusiastic about logistics and internal operations.

    The Operations Manager will report directly to the Director of Finance and Operations and will work collaboratively with everyone on the team. We are aiming for this position to begin mid-April.

    General Duties

    • Fiscal Support: track of Kairos’ cash flow; gather receipts; process invoices, bills, and expenses by stated deadlines.
    • Administrative Support: facilitate Kairos’ relationship with vendors and contractors, helps administer staff benefits; monitors Kairos’ subscriptions and software platforms; manages and tracks Kairos equipment and technology.
    • Campaigns and Programmatic Operational Support: establish digital infrastructure for new projects; coordinate logistics for events and team meetings, both online and in person.
    • Contribute to Kairos culture and values through communication and collaboration with Kairos colleagues.
    • Regular Maintenance for Kairos Internal Systems: update website, file maintenance system, and wikis as needed.
    • Overall Organizational Support: collaborate with Director of Finance and Operations in a variety of projects, such as build out internal digital security infrastructure; support during recruitment, hiring, and onboarding; and document Kairos’ policies and processes.

    Required Skills, Experience, Characteristics

    • Committed to Black and trans liberation.
    • At least three years experience with event planning, project coordination, administrative support, and/or systems management within an organizing space; is able to integrate operations with work throughout the organization.
    • Strong project management skills (including managing up and laterally) and attention to detail; approaches work thinking strategically, and with rigor at moving toward solutions.
    • Strong documentation skills in recording processes, logistics, and dialogue.
    • Skilled at managing multiple tasks simultaneously.
    • Proficiency with digital tools that support operations and collaboration, such as Asana, Google Suite, Notion, and Slack.
    • Able to remain poised and effective while juggling competing priorities; able to bring joyfulness, humility, and grace to the work, even in challenging moments.
    • Demonstrated ability to work remotely in a highly collaborative environment.
    • Direct, proactive, and empathetic communicator (written and verbal) so as to give and receive feedback openly; with the ability to manage difficult and complex situations.
    • Self-reflective, curious, and open to learning.
    • Able to hold and respect boundaries.

    Salary and benefits

    This is a full-time, exempt salaried position. Kairos staff work 40 hours a week. The salary for this position starts at $77,00, and increases from there based on years of prior experience. Basing compensation on someone’s willingness and ability to negotiate, or on their prior pay rates leads to wide inequities and bias in how people are paid, particularly for groups experiencing historical oppression. Therefore, we do not ask for prior pay history from our candidates and our offer-making process is negotiation-free. We also have a progressive compensation philosophy that guides salary increases and role promotions for our staff.

    Your primary residence may be located anywhere in the United States; current staff are based in Illinois, Georgia, Massachusetts, Minnesota, New York, North Carolina, and Oregon. Occasional organization-sponsored travel for conferences, Kairos trainings, partner meetings, and face-to-face staff gatherings is required.
