The Bay School conducts school in-person. All Bay School employees must be fully vaccinated against COVID-19 with an approved vaccine prior to starting work unless exempted from an immunization in accordance with law, and provide documentation confirming such immunization and/or exemption. Scope

The Assistant to the Heads of School provides a full range of administrative and strategic support to the Head of School and Associate Head of School, helping to assure effective and efficient use of the Heads’ time. Additionally the Assistant to the Heads serves as the liaison to the school’s Board of Trustees. This role has a broad and deep range of project management and school-wide responsibilities that require a high degree of confidentiality and discretion as well as exceptional organizational capacities, communication skills, and a highly flexible mindset. The Assistant will work closely with the HOS and AHOS on a variety of projects and tasks and will also interact with trustees, parents/guardians, staffulty, and students.

Essential Responsibilities

  • Serves as the first point of contact and representative for the Head’s Office, coordinating and prioritizing external and internal requests for meetings with the Heads, answering questions, resolving issues, and making connections; 
  • Provides extensive support to the Heads of School, completes tasks independently, facilitates communication, and anticipates and addresses the needs of the Heads; 
  • Manages calendars, appointments, and travel for both the Head and Associate Head,  continually looking months out regarding calendars and projects to optimize workflow for the Heads;
  • Assists Bay's Board of Trustees and Board committees by taking Board meeting minutes, managing the Board calendar, compiling Board meeting agendas, coordinating all logistics (incl. tech and catering) for both committee and full Board meetings, and supporting Trustees with related logistical needs;
  • Serves as a Coordinator and/or Project Manager for various projects involving the Heads of School;
  • Partners with the Advancement Department to coordinate donor meetings and events with the Head of School and relay notes from these meetings;
  • Engages in the full life of the school;
  • Coordinates and supports recruitment and hiring process for administrative positions;
  • Coordinates all logistics for HOS and AHOS hosted events such as small or large gatherings including grade-level coffees, the annual State of the School, and multiple all-employee celebrations;
  • Establishes systems to ensure that the Heads are provided with the necessary background information and briefing materials for meetings and events; researches, organizes, prepares, and presents information in a clear and concise manner; 
  • Drafts communications for the Heads of School as needed;
  • Oversees membership renewals for the HOS and on behalf of the school;
  • Understands and promotes the standards and policies of Bay;
  • Performs other duties as assigned by the Heads.

Essential Skills & Qualifications: 

  • Anticipates needs and takes initiative to make the work of the Head, Associate Head, and Board of Trustees as efficient as possible;
  • Demonstrated and strong written and verbal communication skills & problem-solving skills;
  • Exceptionally efficient with focused attention to detail;
  • Personable and approachable, having the ability to develop rapport with a variety of individuals from diverse backgrounds;
  • An upbeat and welcoming demeanor;
  • Ability to maintain complete confidentiality within the Head and AHOS offices using supreme discretion in receiving and handling confidential information;
  • Able to maintain positive relationships with all staffulty while maintaining confidentiality, sound boundaries, and discretion related to school issues;
  • Ability to proactively assist HOS with strategic and executive functions and manage changing priorities smoothly;
  • Experience with project management, meeting coordination, schedule/calendar, and event management;
  • Advanced technical skills, preferably with Mac, fluency with Google Suite, and presentation deck creation experience; 
  • Minimum of 5 years supporting senior level employees in culture of change, and innovation;
  • Experience working in an environment requiring time flexibility, and occasionally long hours.
