Compensation: $55,000- $60,000 USD, depending on experience and calculated according to the Global Press compensation guidelines

About: Global Press is hiring an Operations Administrator to lead systems maintenance across Global Press. The Operations Administrator will ensure that meetings, global communications, files, databases, supplies, technology, invoices, and other administrative and operational processes are strategically and consistently managed. They will report to the COO, and sit at Global Press. Responsibilities

Organize

  • Maintain orderly and supportive administrative systems to ensure global teams are engaged with Global Press HQ staff.
  • Manage editorial logistics, from booking travel to submitting conference applications, fielding technology and travel requests from reporters to processing reimbursements for staff members.
  • Ensure that all new staff members, contractors, and interns are equipped with appropriate technology, software, onboarding schedules and other general needs.
  • Manage general office supplies, including ordering and tracking their use.
  • Keep information related to staff and reporters up to date in Salesforce.
  • Collect, track and communicate leave requests from global team members and HQ.
  • Collaborate with the Operations Team to ensure that all bureau locations have appropriate licenses and that team members have the appropriate press passes, business cards, media accreditations.
  • Collaborate with the Development Team to ensure that all business filings are completed in a timely manner.
  • Work with the Leadership Team to develop, implement and communicate updates to the HQ and Global Team Policy Handbook.
  • Ensure the storage facility is well organized and all technology and property is well accounted for and managed.
  • Manage all end-of-month accounting prep.
  • Support the Global Press Audit in Q2 each year.

Communicate

  • Coordinate all behind-the-scenes operations and global communications to ensure that all relevant staff, no matter where they are in the world, are present at news meetings.
  • Serve as a member of the Duty of Care Communications Team, filing timely incident reports and communicating urgent needs about reporter safety.
  • Field daily inquiries from reporters to the appropriate personnel related to travel, software and hardware needs, internet connectivity, financial requests, leave, professional development, policies, etc.
  • Notify Newsroom Leadership of upcoming deadlines for awards and conference submissions and support the application process.
  • Schedule team meetings, including managing zoom and calendar invites.
  • Schedule Global Press News Services meetings and presentations for the COO
  • Support the Editor-in-Chief and Standards Editor with the search and testing process for Global Press Accuracy Network (GPAN) members.
  • Support the Editor-in-Chief to run seamless monthly reporter team meetings.
  • Assist with events, Board of Directors meeting logistics and other special engagements to ensure organized execution. 
  • Develop SOPs for any new processes created at Global Press.
  • Support the COO in sending copyright infringement letters on behalf of Global Press.
  • Assist the COO in creating reporter and GPAN contracts and manage/file all contracts on Dropbox and Hellosign

Process

  • Support Editor-in-Chief in managing reporter performance reviews on a quarterly basis.
  • Manage the People Operations Dashboard.
  • Manage a robust onboarding process across the organization.
  • Manage timely and accurate processing of all reporter and contractor invoices and payments.
  • Assist in monthly coding of reporter and contractor payments.
  • Support HR-related processes such as benefits onboarding and staff, GPAN and reporter surveys.
  • Support reporters and editors by managing and ensuring Duty of Care processes and protocols are followed to ensure reporters are safe and healthy.
  • Assist the Standards Editor to ensure the GPAN team is well-managed and onboarded to Global Press.

Qualifications

Are you a detail-oriented, process-minded administrative professional who wants to implement important administrative, operations and communications processes to support women journalists around the world?


Here are a few other things we’re looking for: 

  • 3-5 years of prior experience in professional office management, administrative roles, operations, or human resources.
  • Knowledge of current technologies and communication systems (i.e. Whatsapp, Slack, Gmail, Zoom)
  • Experience and comfort working with Dropbox, Google Drive and Salesforce.
  • Excellent writing and verbal communication skills becoming a world-class news organization. (*Note: Global Press requires candidates to take a writing assessment.)
  • An innate ability to multitask, connect people, perfect minute details and use critical thinking to ensure smooth operations within complex systems – and find value in doing so.
  • Exceptional judgement and tact.
  • An exceptional ability to manage time and to manage up.
  • The ability to respond immediately and effectively to challenges with enthusiasm and good humor.

The Operations Administrator role is a full-time remote position offered within the United States. Candidates based in the Washington D.C. area are preferred, though nationwide candidates are encouraged to apply.
