Administrator Job Description 

Hours: approximately 12 hours/week 

Hourly Rate: $17.00 - 22.00/hr 

Job Summary: The Administrator will manage office operations for a small, growing, dynamic congregation. The Administrator is responsible for a broad variety of functions to assist the congregation in fulfilling its mission. Please see our mission statement and learn more about our organization: www.uupetaluma.org. This position is temporarily remote. The administrator will eventually work from an office at our historic church building in downtown Petaluma.

Essential Functions 

● Provide a responsive and welcoming public face for the congregation through oral and written communication. 

● Meet regularly with the Minister and the Board President. 

● Sort and distribute mail. 

● Assist with and attend Board meetings as needed 

● Work with the Treasurer for budget preparation as needed.

● Prepare a monthly Administrator’s report for the Board on memberships, rentals, and other important changes. 

● Prepare, distribute and maintain up-to-date records of policies, procedures, and core documents. 

● Update basic content on website and social media (or have willingness in learning how to do this.) 

● Prepare weekly e-newsletter, and other printed materials such as weekly Order of Service and programs for special events. 

● Maintain a master calendar of church events, building use, and assist with scheduling.

● Coordinate our congregational office, including maintaining operation of office equipment and ordering office supplies as needed. 

● Recommend changes in office operational procedures, as necessary. 

● Run background checks on new hires and volunteers. 

● Maintain confidential staff and personnel files. 

● Other duties as required by the Minister and Board. 

Our ideal candidate will: 

● Have office management experience 

● Be detailed oriented and able to keep track of a wide range of people/ projects

● Have strong communications skills 

● Bring a warm, professional, “customer service” orientation to this position.

● Maintain a sense of humor and work collaboratively with others 

● Respond to duties in a timely manner, be able to meet deadlines consistently

● Be proficient with digital tools, such as MailChimp, Microsoft Office, Google, Drive, WordPress, Zoom, Canva; or be willing to learn and grow in these areas. 

● Have experience managing an organization’s social media presence (or be willing to learn)

● Bring experience supervising volunteers 

● Demonstrate the ability to give and receive constructive feedback 

● Be able to hold others accountable in a spirit of love and acceptance 

● Have experience working in a non-profit or other mission-driven organization.

● Have interest in supporting our congregational mission and vision, including intersections of spirituality and social justice. 

● Bring willingness to engage in professional development, such as potentially participating in the Association of UU Administrators network for additional training and resources.

● Sunday morning availability is a plus 

● Spanish language skills are also a plus, though not required
