Since its inception in 1989, Unlocking Futures, Inc. has served over 11,000 families through our programs, grounded in empowerment and transformation. At the root of empowerment in our programs is providing youth the opportunity to decide for themselves what they want their future to look like and allowing them to unlock their true potential to create that future.

Unlocking Futures is seeking an Executive Assistant to coordinate and directly support the CEO & President in her accountabilities.

Roles and Responsibilities for Executive Assistant include:

  • Identify office issues that need to be addressed
  • Coordinate and confirm meetings and conference calls
  • Manage CEO’s calendar and administrative tasks for internal & external meetings
  • Schedule, maintain & ensure accuracy of CEO’s appointments & meetings
  • Book and manage travel for CEO and out of state volunteers
  • Direct & screen CEO's calls & requests for information
  • Draft & prepare correspondence & other written materials for the CEO
  • Communicate with the Board of Directors (create and submit board reports)
  • General office management: ordering of supplies, Dropbox management and staff communication
  • Organize and file/upload important documents and emails
  • Process new hires and maintain HR documents, including employee contracts
  • Maintain and secure corporate and personal records
  • Manage contracts and payments for all events
  • Maintain communication with Program Partners (including school personnel and session venues)
  • Coordinate and book logistics with venue and vendors (both Programs and Events)
  • On-site production assistant when needed
  • Manage communication with events and program volunteers and staff
  • Request, collect, and arrange delivery for auction items for fundraising events
  • Manage event donations and payments
  • Assist the accountant with the audit
  • Assist Grants & Development Coordinator with grant proposals

Required Skills

  • Ability to multi-task
  • Excellent writing, typing and editing skills
  • Mindful organization and communication skills
  • Basic working knowledge of Microsoft Office (word, excel) and Google Docs
  • Preferred: 2 years of experience in the field
  • This position may be done virtually, however, there is a preference for NYC and the surrounding area-based applicants
