THE POSITION

The School seeks a Junior Accountant who, as a vital member of the Finance team, will enthusiastically carry out a range of accounting tasks associated with the disbursements and reporting of expenditures.  In this confidential position, the Junior Accountant reports to the Controller and supports the Director of Finance and Operations (DFO) in carrying out the mission and goals of the business aspects of the school.


The Junior Accountant is responsible for the day-to-day administration, coordination and execution of the disbursements cycle, and the recording, reporting and analysis of those expenditures.  This includes administering accounts payable, credit card and bank reconciliations. The successful candidate will have relevant experience and knowledge of AP best practice, internal controls, and accounting systems, as well as demonstrated competency with Google Drive and the Google Suite of applications.  In addition to the requisite knowledge and experience, the ideal candidate will be able to constructively and cordially interact with vendors and all members of the School’s community. Primary Responsibilities Include:

  • Receive and verify invoices and other payment requests to begin the payment process.
  • Ensure accuracy of expenses by identifying and resolving billing errors, monitoring for discount opportunities, obtaining refunds, applying credits and ensuring tax exemption.
  • Obtain proper payment approvals and general ledger account codes.
  • Enter invoices and payment requests into accounts payable financial system ledger.
  • Present complete and orderly payable documentation for review and approval by the Assistant Controller and Controller on a timely schedule.
  • Prepare and process payables for uploading to third-party electronic payment processor.
  • Monitor and track payables to ensure that invoices are received and paid on a timely basis. 
  • Maintain and oversee the systems that support Accounts Payable transactions, including systems interface with third-party payment processor.
  • Receive, research and resolve a variety of internal and external inquiries; respond with timely and courteous communication.
  • Process and file annual 1099 and 1096 forms.
  • Retrieve proper support for all credit card transactions.
  • Liaise with School departments to facilitate credit card reconciliation.
  • Reconcile department credit card statements; generate related journal entry.
  • Ensure that AP procedures and systems reflect accepted and best practices.
  • Leverage digital capabilities and shared network files to continually improve the disbursements process.
  • Administer School-wide vendor accounts, complete vendor credit applications and assist with procurement as needed. 

Secondary Responsibilities:

  • Perform bank reconciliations and assist with wire transfers. 
  • Perform month-end closing process.  
  • Prepare journal entries as needed.
  • Support the annual audit by preparing subsidiary ledgers and provide requested documentation.
  • Support Finance Office on day-to-day accounting operations.
  • Perform copying, mailing, filing and banking as needed.
  • Serve as a backup to other accounting functions when necessary.
  • Perform other duties as may be assigned by the Controller and DFO

Qualifications and Characteristics Sought:

  • Bachelor’s degree required, preferably in accounting or related field.
  • Knowledge of accounting principles.
  • 3+ years of recent relevant work experience.
  • Familiarity using accounting software (Experience with Blackbaud applications and Senior Systems a plus).
  • Excellent computer skills with a strong working knowledge of Google Suite of  applications as well as with Excel.
  • Respect for confidentiality and ability to handle sensitive information with discretion and integrity.
  • Excellent written and verbal communication.
  • Strong organizational skills with careful attention to detail and accuracy.
  • Possesses core problem-solving and analytical skills.
  • Exhibits initiative, resourcefulness and a strong work ethic.
  • Models poise, professionalism, and an ability to positively represent the school in all circumstances.
  • Has the ability to partner and collaborate with all colleagues as well as families, student body, local and national independent school communities, and our Brooklyn community.

Physical Requirements of the Job:

  • Must be able to work in an office environment including prolonged periods of sitting and standing.
  • Must be able to stand, bend over, twist and reach to access file cabinets, bookshelves and navigate office and workstation spaces.
  • Must be able to lift and carry up to 25 lbs.
  • Must be able to ambulate through a classroom setting, including walking up stairs.
  • Must be able to lift and carry small children in the case of emergency.
