Direct Supervisor: Finance Manager

Job Summary: Under general supervision of the Finance Manager, the Finance Coordinator will be responsible for assisting the Finance team with general accounting functions including preparing journal entries, maintaining funder contracts, and tracking outstanding accounts receivables in accordance with company policy. Also, processing complex accounts payable invoices for multiple programs across roughly 60 cost centers. They will also assist with monthly closings and supporting the Finance Manager in carrying out the responsibilities of the Finance department.

This position will coordinate cross-functionally to allocate shared expenses such as facilities and telecommunications to develop and execute reoccurring and one-time grant budgets. Serving as a liaison between Finance and program staff, strong interpersonal skills are a must for this position.

Duties and Responsibilities:

· Coordinates with the Director of Administration to maintain an organized list of grant contracts, tracking invoice deadlines, subcontractor approvals, and funder payments

· Work closely with funders to set up electronic funding & regularly invoices funders for reimbursement through various systems

· Enters invoices for vendors and subcontractors into accounting software and verifies accurate accounts and amounts are entered

· Tracks and coordinates participant stipends to ensure timely and safe delivery

· Monitors and reduces outstanding payments from funders by following up with all transactions in accounts receivable

· Assists payroll with fringe and retirement journal entries as well as payroll

· Allocates shared expenses such as facility, telecommunication, and indirect costs across

all 60 grants in coordination with the Finance team

· Assists with month-end and year-end closings, and annual financial statement audits

· Consults with the Finance Manager and Finance Team regarding major policy decisions, major expenditures, and unusual problems

· Performs other duties as needed or assigned by direct supervisor

Qualifications:

· Associates degree with a minimum 1-3 years experience in bookkeeping, finance, or other related fields. Or High school diploma with a minimum of 3-5 years experience in bookkeeping, finance, or other related fields.

· Previous experience in finance with non-profit grant-funded agency highly desired

· Proficiency in accounting and business management software, such as Sage Intacct and MS Office

· Strong communications skills

· In-depth knowledge of accounting standards and regulations

· Exceptional attention to detail

· Superb time-management and organizational skills

· Excellent problem-solving skills and analytical capabilities

· Ability to work independently and set goals in the frameworks of the department and agency

· Position may be remote or hybrid
