Position Status:           Full-Time, Non-Exempt 

Reports to:                    Director, Research Programs

Location:                      Preference close to New York, NY; will consider virtual

 DESCRIPTION:

PRIMARY ROLE:The Research Administrative Assistant is a key player in the function of the Research Programs team and serves as the primary administrative support for the Research team. The Research Administrative Assistant plays an important role in assisting the Research team in data processing, grant management, and logistic leadership around meetings. 

It is essential that the Research Administrative Assistant demonstrates and upholds the Foundation’s values of collaboration, dedication, excellence, integrity, positivity, responsiveness and teamwork. 

RESPONSIBILITIES: 

Responsibilities include, but are not limited to the following: 

•       Act as the first point of contact for a wide variety of external stakeholders that include scientific leaders from academia and industry, early-career faculty and students, and prospective grantees. Monitor and respond to email and telephone inquiries in a timely and professional fashion. 

•       Assist with data entry and coding in grants database. Ensure all grant records are up-to-date and information is entered correctly. Support Research Grants Manager with grant payment processing, recording, and tracking. Conduct preliminary administrative review of proposals and other pertinent grantee documents.

•       Coordinate meetings, conference calls, and webinars. Manage travel arrangements and reimbursements for Scientific Advisory Board convenings, grantee summits, review meetings, and other Research team events.

•       Manage Research team calendars and provide administrative support for the CSO.

•       Format and draft agendas, correspondence, and meeting notes as needed for the CSO and Research team.

•       Assist in drafting and editing of promotional materials and other program collateral including emails, surveys, and other mass electronic communication. Assist with updating and maintaining Research Program webpages.

•       Assist with reconciling monthly credit card expenses and manage reimbursements for the CSO.

•       Collaborate with other members of the Research team in fulfilling their responsibilities and functions.

•       Provide on-site support as needed for Parkinson’s Foundation events, including being capable of travel, minimal meeting and conference booth set up, including moving boxes as well a standing during booth-related duties at conferences (infrequent).

•       Willing and able to follow COVID safety protocols when in office, including proof of complete COVID vaccination upon hiring.

EXPERIENCE/SKILLS REQUIRED: 

•       Bachelor’s degree (or equivalent experience) in business, public health, biological sciences, research administration, or in a related field preferred.

•       Prior experience working in administrative or project management support a plus. 

•       Excellent oral and written communication skills, detail-oriented with strong editing and data management skills.

•       Strong time management skills, ability to prioritize work at hand.

•       Flexibility in approach and willingness to adapt when necessary, strong interpersonal skills.

•       Must be resourceful, a self-starter and problem solver. 

•       Microsoft Office proficiency in Excel, Word, Outlook, and PowerPoint. Experience with grants management a plus.

COMPENSATION: 

Compensation for this position is competitive and depends on prior experience. In addition, a comprehensive benefits package is included.
