Organization Overview

Resources Legacy Fund (RLF) seeks a Program Coordinator to manage the administrative aspects of the grantmaking process, serve as the point of contact for grantees and consultants, and provide general coordination to support assigned programs and projects. The selected candidate will join a team of 40+ staff working to conserve land, water, and ocean resources while advancing healthy communities and social equity.

RLF is a 501(c)(3) public charity that has been working with philanthropy, government, science, business, and community groups for 20 years to secure enduring outcomes for the environment, climate resilience, and healthy communities. We are not a traditional environmental organization; our strategic initiatives—developed closely with donors—support and elevate the voices and experience of communities most impacted by change and advance campaigns that secure equitable policies and public funding. Our headquarters are based in Sacramento, California, but our work takes us across the Western United States and beyond, with several international initiatives. The experience, expertise, and connections of our team consistently deliver significant and enduring results. Tactical use of science, research, and polling mark our work, as does collaboration with strategic and diverse partners.

Some of our achievements in the past 20 years include working with our partners to protect millions of acres of land across the American West and Mexico and nearly 17 percent of California’s offshore waters; generate more than $30 billion in new public funding for water, land, climate resilience, equitable parks access, and ocean conservation; and broker landmark renewable energy development policy for the American West. RLF also works with donors on issues that further a healthy democracy.

Position Summary

The Program Coordinator provides day-to-day grantmaking and administrative support for philanthropic programs working under the direction of program leads. Duties include:

  • Manages administrative aspects of grantmaking through the full grant lifecycle, from the proposal application to grant reporting and closing of grants.
  • Serves as a point of contact with applicants, grantees, contractors, and partners.
  • Coordinates proposal process with grantees and contractors.
  • Assists with the creation of quarterly docket materials.
  • Prepares and tracks grant and contract agreements, extensions, and modifications.
  • Tracks the status of approved grants and contracts. Reviews reports to assess progress of grantees. Processes grant disbursements and consultant invoices for payment.
  • Communicates with grantees to provide report reminders, acknowledgements, and other correspondence.
  • Accurately enters and maintains grant and contract information in a database. Manages electronic grant and contract files related to assigned programs and projects. Regularly provides accurate status reports for program team.
  • Manages process for developing reports to program donors. Tracks and manages reporting deadlines and requirements.
  • Plans, organizes, and tracks communications, timelines, and documents related to grants and contracts.
  • Works with team to effectively prioritize workload, tracking deliverables and monitoring progress to meet deadlines.
  • Provides scheduling and administrative support for program meetings, which may include complex scheduling requests.
  • Drafts and manages business correspondence, responds to information requests, and provides administrative support as requested.

This is a full-time, non-exempt position. This position is based in Sacramento, CA, but due to COVID-19, RLF offices are closed, and we remain a fully remote organization until further notice.

Qualifications

  • Strong administrative and project management skills and experience (2+ years).
  • Bachelor’s degree desired.
  • Strong organizational skills, sharp attention to detail, and persistence in following through on projects.
  • Proven ability to prioritize and handle multiple tasks independently; effective management of shifting priorities and time-sensitive projects to meet deadlines.
  • Exceptional interpersonal and collaboration skills.
  • Strong oral and written communication skills.
  • Excellent computer skills and proficiency with the Microsoft Office Suite; learns new tools and systems quickly.
  • Interest in conservation of land, ocean, and water resources, climate change resilience, and conservation funding and policies that benefit all communities.

Compensation and Benefits

Starting pay: $28 per hour. We offer a comprehensive benefit package including medical, dental, vision insurance, retirement plan, and generous paid time off.
