We are currently seeking an experienced executive level Special Assistant to support the Folger’s CFO and ensures a high level of internal customer support across department teams. This is a fantastic job opportunity for someone who is interested in arts management, cultural institutions, and working in a highly collaborative environment. 


Day-to-day executive office management and administrative supportwhich includes reviewing and prioritizing CFO’s emails; drafting correspondence and proofing CFO communications; maintaining appointment of a variety of calendars and the finance deadline calendar; plan and prepare meeting materials; assisting with travel arrangements; processes check requests, manage invoices, and monthly expense reports; and maintaining organizational paper and electronic files systems. The Special Assistant will also: make sure project initiatives are on track; assists with proposals and reports as assigned; conducts financial analysis; conduct research and source information and provide a high level of summary of researched topic; take meeting minutes; create charts, tables, and graphics for presentations; and coordinate special projects with other institutions.

Job Requirements: 

This position requires five years executive level administrative experience, including experience with

Scheduling, preparing, and disseminating internal and external communications and presentations.

Must have outstanding communication skills, both in person and in writing, demonstrated skills in time

Management, and a strong attention to accuracy and detail. To be successful, the applicant must

perform well both independently and as part of a closely woven team. Basic financial tracking or

accounting skills are required, experience with financial analysis highly desirable. Must be well

organized, accurate, and able to follow through on assignments, maintain strict confidentially and

discretion, and have knowledge of Microsoft Word, Excel, PowerPoint, and Outlook is required.

Experience in a non-profit, cultural, or academic institution is highly desirable.

Pandemic Response: This position will have a hybrid schedule, working both onsite and remotely, based on the CFO’s needs. The building is currently closed to the public due to construction projects. 

All staff, contractors, and visitors working or visiting onsite are required to be fully vaccinated with the COVID-19 vaccine and furnish proof of vaccination (unless they have received a medical or religious exemption). Masks are required in all shared or public spaces onsite until further notice.
