The American Association of School Administrators, d/b/a, AASA the School Superintendents Association, is a non-profit association that supports K-12 school system leaders. Our professional development arm, the Leadership Network, is committed to supporting a pipeline of diverse school superintendents and educational leaders as they refine the knowledge, skills and dispositions for highly effective leadership. We engage with our members through professional learning and collaboration to provide competencies needed to effectively lead in this virtual and transformational age.

Leadership Network provides professional learning, mentorships and certification for educational leaders offering over 30 programs at the national level. The number of programs managed by Leadership Network has quickly grown over the last five years, which has created the need for a project coordinator.

If you are interested in joining our passionate and committed Leadership Network team working with national education leaders impacting our public schools, please review the job description below. The incumbent will support the department's programs as assigned. Applicants should have a minimum of two years of professional experience working in a busy office environment preferably an association or non-profit organization. This could be a great opportunity for a recent graduate with office experience or internships.

Starting salary is $45,000 to $50,000 annualized.

This is a hybrid position where some work can be done from home while there will be days that the coordinator will be required to work in the office.

AASA Position Description

Title: Project Coordinator

Name: Vacant

Department: Leadership Network

Supervisor: Director, Leadership Network

SUMMARY: The incumbent supports the mission of the department and performs essential administrative functions.

MAJOR RESPONSIBILITIES:

Assists with the Development and Tracking of Department Projects

  • Formats updates and disseminates program updates and program specific correspondence, when appropriate.
  • Assists, as needed, in budget documentation and tracking for assigned projects.
  • Schedules attends and scribes planning and implementation meetings for Leadership
  • Network projects.
  • Documents the details of projects, programs and cohorts, to include the specific details such as number of meetings and participants; and contact details for program/project leads, participants, and partners involved.

Coordinates and Completes Project Tasks as Defined and Assigned in Individual Project Plans

  • Liaises with the Project Management Office (PMO) on new program setup, web updates, application edits and overall recruitment needs.

Provides Administrative Support for Department and Organization as Required

  • Performs complex administrative duties including processing correspondence, developing meeting agendas, booking travel, reconciling expenses, and preparing reports and presentations.
  • Communicates with program participants by disseminating meeting details and calendar invitations, posting meeting/event messages, and reviewing and responding to participant inquiries.
  • Maintains AASA LN website ensuring content is up to date and reflects current efforts and priorities.
  • Prepares invoices, travel expense vouchers, and other travel related reimbursements for directors, consultants, mentors or participants as needed.

Serves as Backup to the Primary Receptionist

  • Welcomes visitors to building.
  • Responds to incoming telephone calls and AASA member/customer inquiries.
  • Keeps current on AASA/NAESP programs, member benefits and dues structure.

QUALIFICATIONS:

Education: Bachelor’s degree or equivalent training and experience required.

Experience: Demonstrated success in project management and administrative services.

Minimum two years of professional experience in a busy work environment with tight deadlines.

Graphic design and/or familiarity with social media tools, such as Facebook, Twitter, Snapchat and LinkedIn a plus.

Skills:

  • Demonstrates excellent communications, human relations, customer service and project management skills.
  • Must be able to handle multiple tasks simultaneously.
  • Demonstrates ability to work under pressure with many different individuals.
  • Must have ability to maintain composure under stressful conditions.
  • Strong initiative and be adept with managing deadlines.
  • Exhibits professionalism.
  • Proficient in using varied PC applications, including Microsoft Office.

Physical Demands: Regular use of desktop and laptop computers is common. Travel may be required and longer than normal hours of work at meetings and conferences may be expected.
