Ríos/Rivers provides strategic support to organizations in Latin America and the Caribbean that work for reproductive justice through strategic lawyering and technical legal work.

Ríos/Rivers is an organization currently expanding its range of work and its team. We are seeking for people able to work in a flexible and collaborative environment, as a part of a proactive team, with high levels of transparency, respect, and trust.


The Administrative Officer will provide day-to-day administrative support to the Ríos/Rivers team. Main duties will include logistics support, managing office stock, support to the finance process and organizing organizational documents and records.

The Administrative Officer reports to the Associate Director of Finance & Operations.


Essential Responsibilities and Tasks

Logistics support

·       Managing Ríos/Rivers’ in-person and virtual meeting/events programming, in coordination with a wide array of internal and external stakeholders (sending invitations, book meeting rooms, order meals, etc.)

·       Coordinate travel and accommodations

·       Maintain an organization calendar and schedule appointments

·       Note-taking, as needed

·       Translation of non-technical documents, as needed

·       Organize a filing system for project documents

·       Maintain and updating Ríos/Rivers contacts database

·       Purchase of office supplies and other equipment

·       Assists Ríos/Rivers team with daily operations and administrative needs related to project work and overall goals

Finance support

·       Prepare regular reports on expenses, under the supervision of the Associate Director of Finance & Operations

·       Ensure the fulfilment of document requirements by contractors, vendors, subgrantees, to ensure timely closure of contracts/grants and payment process.

·       Register new vendors and contractors into the database

·       Reconcile/process expense reports for the Ríos/Rivers executive team as needed

·       Reconcile other contactors’ reimbursements

·       Manage equipments purchase, office supplies stock, other required services, and place orders.

·       Coordinate with finance team, as needed to ensure smooth financial processes and transactions

HR Support

·       Provide guidance for Ríos/Rivers staff/contractors for administrative processes, policies, and resources

·       Support on the hiring process of staff and contractors: outreach, documents, etc.

·       Update office policies as needed

Communications

·       Renewal of communication services, software, and other IT organizational needs

·       Maintenance of the institutional virtual shared spaces/channels

·       Website updating, as needed


Required Education, Experience and Skills

·       College degree (or equivalent). Additional qualifications in Office Administration are a plus.

·       Fluency in Spanish and English, including excellent written and verbal communication abilities in those languages, is required. Knowledge of Portuguese is a plus.

·       At least 2 years of proven work experience as an Administrative Officer, Administrator or similar role.

·       Experience with office management software like MS Office (MS Excel and MS Word, specifically) and other communication tools as G Suite and Slack.

·       Strong organizational skills and ability to work independently with modest supervision.

·       Outstanding interpersonal skills, including the ability to work as part of a team and to interact successfully with a variety of personalities

·       Talent for managing information, contacts, calendars, booking travel, and meeting and event planning

Salary and benefits

The salary range for this position is between $60,000 to $70,000, based upon years of experience and education.
