The Association of Developmental Disabilities Providers (ADDP) is a fast-paced, non-profit trade organization that advocates for and provides trainings to 133 provider agencies across Massachusetts. Position Outline

The Senior Administrative & Events Coordinator is an integral part of the ADDP team whose primary responsibility is to ensure that the association’s operations run smoothly. S/he/they provide(s) support to the leadership team and Board of Directors, oversees various projects, and acts as the primary coordinator for key events and trainings.

The Senior Administrative & Events Coordinator must be deadline and results-driven. S/he/they must have strong interpersonal and organizational skills. The Senior Administrative & Events Coordinator must have the ability to work independently and with a team on various projects. S/he/they must be a highly capable, initiative-taker with the ability to exercise good judgement in a variety of situations, have the ability to work under pressure and manage a wide variety of activities. S/he/they must be dependable, professional and oversee confidential matters with discretion.

The Senior Administrative & Events Coordinator should have an excellent work ethic, keen sense of job ownership, positive engaging attitude, strong technical skills, and enjoy being a part of a team-focused environment that is committed to doing superior work.

This is a 40 hour/week hybrid position based in Framingham, Massachusetts. Work hours are 9 a.m. – 5 p.m. Monday – Friday. We offer the ability to work remotely several days a week. Additional time may be required outside set hours dependent upon certain events. We offer robust health and dental insurance benefits, 23 days of PTO to start and a matching 403 (b) plan. Minimal travel may be required.

Key Responsibilities

1.    Provides direct support to ADDP President/Chief Executive Officer and ADDP team members

2.    Serves as liaison to ADDP Board of Directors, Executive Board and Member Committees

3.    Schedules Board, membership, and other meetings as needed

4.    Records minutes for monthly Board of Directors’ meetings

5.    Serves as administrative liaison to external vendors (e.g., IT and copier contractors, building owner, etc.) manages office contracts and ensures necessary records are maintained

6.    Serves as the primary coordinator for association conferences and events. This involves:

  • Identifying venues, negotiating pricing and menus
  • Identifying IT needs for outside events and acting as primary contact with the hotel’s IT vendor
  • Creating a media plan to promote events
  • Working with ADDP team on set up and breakdown of events
  • Other items as needed

7.    Implements various time-limited projects as directed by senior leadership. Examples include ADDP’s Annual Report (September) and ADDP’s Annual Legislative Calendar (end of December/early January)

8.    Produces ADDP’s weekly newsletter and assists in social media

9.     Ensures office supplies are stocked

10.  Performs other duties as required

Required Knowledge and Skills

  • Exceptional organizational, administrative, and time management skills
  • Strong writing skills (articles, newsletter or event descriptions - writing sample required)
  • Experience working with/directly supporting executives (C-Level)
  • Experience coordinating events of varying sizes (50-500 people) and negotiating with venues
  • Experience delivering elevated level of customer care and service standards
  • Ability to anticipate and identify/propose solutions, innovative approaches or processes to improve efficiency and effectiveness of association operations
  • Proven ability to multi-task, problem solve, meet deadlines, and adapt to various competing demands
  • Outstanding knowledge in Microsoft Office (Word, Excel, PowerPoint, and Outlook), Adobe Acrobat, Zoom, website maintenance, social media platforms (Facebook, Twitter, Instagram, LinkedIn)
  • Comfortable working both independently and as a team player
  • Ability to manage confidential information with discretion
  • Thrives in a dynamic environment and can adjust priorities on-the-fly

Education

  • Associate degree and at least five-years of work experience in similar role
  • Bachelor’s degree and at least three-years of work experience in similar role
  • Certification in Project Management is desirable (but not required)

Salary

Salary commensurate with experience ranging from $50,000 to $60,000. on an annual basis.
