Job Summary: The Donor Operations Associate is responsible for donor & funder operations including responsive customer service, to donors & funders, including fundraising operations across the foundation. The associate coordinates across multiple teams including Grants Management, Finance, Development and Programs to ensure high-quality project management and customer service is met to our external constituents. The associate provides administrative and project management support to internal staff to support their engagement, cultivation, and stewardship of key constituents. This position requires an individual who can prioritize and multi-task while maintaining a high level of customer service among donors, advisors, prospects and grantees.

Primary Duties and Responsibilities:

Donor and Fund Operations: Provides proactive, responsive and comprehensive customer service to donors, major funders, and system leaders with professionalism, timely attention to detail and coordination with other teams including Donor Relations, Grant Management, Programs and Accounting teams. Participates as an integral member of the internal operations team, including fund creation and fund operations.

Customer Service: Highly responsive to donor, funder, and other constituent requests for information pertaining to fund reporting and management, programmatic information, and grantmaking activities. As a member of the operations team, identifies needs for systemic adjustments to institute operational efficiencies and better serve donors, funders, advisors and nonprofit partners.

Donor Relations: Provide project management support to the Development and Donor Relations department with donor projects and special requests. This includes administrative support, meeting preparation, grantmaking and report coordination, and other special requests.

Program and Initiatives Administration: Manage various programs in collaboration with other departments including Development and Donor Relations, Grants Management, Marketing and Communications and Programs, including but not limited to aligned fundraising efforts and joint grantmaking opportunities. Also ensures stewardship and cultivation efforts with various relationships (individuals and institutions) are executed on time and meet milestones via reports, convenings, events, mailings, special invitations, etc. This includes the preparation, and mailing of campaign appeals and invitations for donor and advisor events, managing RSVP lists, staff briefing meetings, online registration pages, and event reports. Provides on-site support for event registration and assists with event set-up and breakdown.

Gift Acceptance, Asset Management & Business Development Operations: Works internally and externally to shepherd assets to CCF. Maintain outstanding communication with staff, individuals, financial advisors and institutional funders with complex operational needs.

Mailings: Works with Marketing and Communications to coordinate mailings. Assists with the production of and coordinates the mailing of quarterly activity statements for all donor serviced funds at CCF.

Supporting Organizations: Coordinates regular board of directors’ meetings of CCF’s supporting organizations, tracks corporate compliance and provides project management support.

Administrative Support: Provides departmental administrative support including answering phones, data entry, research, mailings, electronic filing, creating donor giving pages online, and coordinating continuing education. Provides administrative support, including composing and processing correspondence; processing mail; creating and maintaining files; scheduling meetings and conference calls; ordering supplies; copying documents; making travel arrangements; processing invoices and check requests; event preparation and coordination. Screens and handles telephone calls, answers initial questions about products and services, and directs prospects accordingly.

Database Management: Involved in the management of both electronic and physical files, ensuring that records are consistently filed and easily retrievable, including electronic files and other databases. Uses databases to efficiently track and monitor ongoing relationship building efforts.

Prospect and Donor Research: Conducts research on prospective donors and advisors, using online and database research tools.

Department Interaction: Communicates regularly with all departments on donor activities, special needs, issues and concerns to foster collaboration and connection. Works closely with Development and Finance staff to address customer service needs and concerns.

General: As appropriate, assists other departments and works as a member of interdepartmental teams to ensure the effective and efficient operations of CCF. At all times, demonstrates cooperative behavior with supervisors and coworkers. Other duties as assigned, dependent on organizational needs and employee skills.

Job Qualifications

  • Education: Bachelor's degree required
  • Work Experience: 
  • Three to five years of related experience required, with a minimum of three years of database experience (e.g. Raiser’s Edge) and donor services experience.

Skills, Knowledge & Abilities

Technical Skills & Knowledge: Internet competency and strong computer proficiency, including mastery of the Microsoft Office software suite and a familiarity with database software, is required. Minimum of three years’ experience with Blackbaud software, with a willingness and ability to learn appropriate database, spreadsheet and other computer programs.

Project Management Skills: Excellent organizational skills and attention to detail. Ability to prioritize work and adjust to multiple demands. Demonstrated ability to follow tasks through to completion in a timely manner.

Communication Skills: Excellent interpersonal, verbal, and written communications skills. Superior and proven customer services skills, including experience in writing customer-oriented policy and procedure documents.

Critical Thinking and Problem Solving Skills: Ability to assess, compile and disseminate information and independently complete assignments is necessary. Self initiated ability to analyze and improve on development, operations and other systems.

Community Knowledge: Knowledge of the Los Angeles County nonprofit community, government agencies, elected officials and civic leadership. Working knowledge of distinct geographies and diverse neighborhoods that make up the region. And experience in working effectively with diverse and broad-based community constituencies.

Teamwork & General Skills: Ability to work well independently and as team member. Ability to take initiative, and follow tasks through to completion. Ability to lead a team toward CCF's goals, leveraging each team member's skill set.

Knowledge of Philanthropic Practices: Strong knowledge of grantmaking processes and the nonprofit community in Los Angeles County.

Working Conditions:

  • Requires the ability to sit and work at a desk for several hours at a time.
  • Requires the ability to travel and attend meetings, presentations, and events outside the office, which may require occasional use of a motor vehicle for transportation to other locations.  
  • Work may require occasional weekends and/or extended workday.
  • Punctuality and satisfactory attendance are essential functions of the job.
