Position: Administrative Assistant – Tenants’ Rights

Reports to: Operations Manager

FLSA: Non-Exempt

Type: Full Time/Temporary

Assignment Length: June 30, 2022

Position Summary

Our Tenants’ Rights Practice works to stop displacement and stabilize our communities through eviction defense, drop-in legal clinics, affirmative litigation, know-your rights presentations, administrative hearings before rent boards, and policy advocacy. In response to the COVID-19 Pandemic, we are partnering with local government agencies to implement and administer a large-scale emergency rental assistance program (ERAP) for low-income tenants financially impacted by the COVID-19 pandemic. Our team is seeking an administrative assistant to provide exceptional administrative support to the Operations Manager and the ERAP program. The ideal candidate has a stellar level of organization, communication, confidentiality, and professionalism. This position requires someone to be a master organizer, scheduler, and protector of time and resources for the housing teams.

This position is a temporary position, and Centro may decide to extend the temporary position based on continuing need and available funding. Because of current public health guidance, this position will begin as a remote work position. If public health guidance changes, this position may require some work from our office in Oakland.

Responsibilities

Providing logistical coordination ERAP program, including:

  • Event support for outreach trainings and presentations
  • Supply ordering and vendor management
  • Create and update ERAP program materials, in collaboration with Communications Department
  • Assist with email and phone information requests from community partners, government agencies, and staff
  • Support Tenants Rights team on special projects and day-to-day operations
  • Website updates and basic maintenance
  • Coordinating the ongoing onboarding of new ERAP staff
  • Assisting Operations Manager and Tenants’ Rights Directing Attorney with administrative duties and tasks, including:
  • Managing several active calendars of appointments
  • Manage payment requests and receipts for finance department
  • Coordinate internal and external conference calls, meetings, trainings and events
  • Track funder deliverables and metrics
  • Supporting application coordinators:
  • Distribute paper applications and outreach materials
  • Update funding request database as needed and provide status updates to stakeholders
  • Assist coordinators in pre-processing and inputting paper ERAP applications as needed

Qualifications

The applicant must profoundly share Centro Legal’s mission and vision of racial, economic and social justice. Qualifications include:

  • Minimum of 1 year of experience in administrative or clerical work;
  • At least one year of experience working at a community-based organization committed to serving low-income communities, Black communities, and communities of color preferred, but not required;
  • Fluency in Spanish, Mandarin, Cantonese, or Vietnamese preferred, but not required;
  • Time management and organizational skills;
  • Positive, respectful, and effective communication skills;
  • Excellent writing, research, analytical, and verbal communication skills;
  • Work effectively in a fast-paced environment with demanding and/or shifting deadlines;
  • Demonstrated ability to work cooperatively on projects with staff members and diverse community organizations;
  • Demonstrated commitment to diversity within the office and a personal approach that values all individuals and respects differences regarding race, ethnicity, age, gender identity and expression, sexual orientation, religion, ability, socio-economic circumstances, immigration status, and record of arrest or conviction.
