ASSOCIATE DIRECTOR JOB DESCRIPTION

JOB SUMMARY: Provides daily and overall administrative, facilities management and organizational support for the GBCS organization.  This role has high contact with volunteers, guests and community members. This is a full-time position reporting to the Executive Director.  

The position focuses on these major function areas:

 PROGRAM TASKS AND RESPONSIBILITIES:

●                   Emergency Needs Fund: manages and provides oversight of requests; receives and responds to financial assistance requests from consumers, faith communities, social service organizations, and makes funding decisions within organizational guidelines. Works with local organizations to provide approved services.              

●                   Molly Stark Dental Clinic & Bennington Oral Health Coalition (Program currently paused): develops plan for reopening clinic; manages logistics for the Molly Stark dental clinic; coordinates hygienist schedule; receives and responds to inquiries from school leadership; assists with outreach and enrollment into the program. schedules and facilitates the Bennington Oral Health Coalition meeting, attends the monthly 802 Smiles meetings; maintains relationship with SVAHEC

VOLUNTEER COORDINATOR: Recruits, maintains and nurtures relationships with volunteers for all GBCS programs and needs; coordinates the volunteer schedule; provides feedback to volunteers as necessary; provides orientation and on-going training for all volunteers including overview of GBCS’ mission, program content, confidentiality requirements, diversity & inclusion, etc.; coordinate & facilitate monthly meetings with GBCS coordinators & staff to gather feedback regarding volunteers and programmatic needs; develops & maintains detailed volunteer records including background checks, training attended and evaluations; prepare volunteer reports to the Executive Director.

 COMMUNICATION & OUTREACH: Responsible for the implementation of outreach & visibility efforts for GBCS including but not limited to social media, website and “GBCS Newsletter” (digital and hard copy). Creates all graphic design materials for the various GBCS programs and overall organizational needs including updating and maintaining all organization’s documents & forms, name tags, business cards, note cards, etc.; seeks opportunities for community visibility and coordinates special projects (e.g. health fairs, fundraising events, volunteer recognition events) which may include occasional weekend work; maintains organization website and all social media platforms; helps to plan, coordinate, and staff events, as needed.

 BUILDING & GROUNDS MANAGEMENT: Maintains the day-to-day operations of GBCS building and grounds. Generate maintenance repairs & task list, coordinate with vendors & volunteers to fix/repair/maintain buildings and grounds. This includes lawn maintenance and snow removal. Create short-term and long-term maintenance plans. Directly supervise maintenance staff which includes housekeeping and custodial staff. 

 ADMINISTRATIVE TASKS AND RESPONSIBILITIES: Coordinates daily operations and works with the Executive Director to supervise overall administrative operations and steps into the Executive Director role, as needed; standard administrative tasks and front office duties as needed including picking up mail and making bank deposits. Serves as a back-up staff member for all GBCS’ programs including the Free Clinic and Kitchen Cupboard. Manages petty cash and reconciliation process. Responds to requests for information and refers to appropriate program staff.

 FUNDRAISING TASKS AND RESPONSIBILITIES: researches grant opportunities and, in conjunction with the Executive Director, supports grant applications and reporting requirements. Assists with managing constituent and gift information within Little Green Light and generates acknowledgement letters. Provides administrative and logistical support to fundraising events and committees.

 HUMAN RESOURCES TASKS AND RESPONSIBILITIES: Assists in monitoring compliance with hours worked, time accrued and time away. Ensures payroll information is submitted by deadlines needed. Participates in the annual evaluation process for employees. Provides direct & indirect supervision and coaching of staff including co-creation and implementation, with Executive Director, of professional and skill development plans for individuals and staff teams.

CASE MANAGEMENT & REFERRALS: Serves as the contact person for individuals in need of housing resources and referrals to other agencies such as Sunrise Family Resource Center, Office of Economic Opportunity or the Bennington County Coalition for the Homeless. Attends weekly Coordinated Entry meetings. Serves as contact person for individuals found using GBCS property for camping and overnight accommodations. 

 SPECIAL PROJECTS: Provide administrative support to and coordinate new initiatives and programs as needed by the Executive Director.

 Other duties as assigned.

 QUALIFICATIONS: Bachelor’s Degree and relevant administrative experience required; staff supervision, human resources, facilities management, fundraising and event coordination experience preferred.

 Other qualifications include: warm and welcoming personality; strong organizational skills and attention to detail; ability to work well with a diverse population and demonstrated commitment to inclusive practices; clear written and verbal communication skills; self-motivated and able to work independently; accurate, responsible, courteous; strong computer skills, including word processing, Excel, and database management.
