Position Summary:

The Coordinator will provide high-level support for the Offices for Alumni Relations and Development, including advancement services, alumni relations, peer-to-peer outreach, and administration. This is a residential position; on-campus presence is required. 

Essential Functions and Principal Accountabilities:

Advancement Services Support

  • Assist with data entry and maintenance of alumni and fundraising database (including biographical, professional, and affinity updates).
  • Assist with query and export tasks from the alumni and fundraising database (contact information, directors, lists, and reports).
  • Assist with gift entry and acknowledgement process for all donations.

Alumni Relations Support

  • Manage general alumni email inbox and respond to all alumni inquiries within 48 hours or less.
  • Assist Senior Manager of Alumni Relations with meeting and event planning, outreach, and execution, including logistics for annual alumni reunion program.
  • Support Assistant Director of Communications and Engagement with tasks related to the Loquitur alumni magazine.

Peer-to-Peer Outreach Support

  • In coordination with the Director of the Fund for VLGS, support peer-to-peer outreach efforts, including the #CountMeIn milestone reunion participation challenge.
  • Support student fundraising efforts through the class gift (in years when a class gift happens).
  • Update volunteers on an ongoing basis regarding their prospects.

OARD Administration Support

  • Support VP with calendar maintenance, travel arrangements, and expense reports.
  • Schedule appointments and meetings as needed.
  • Manage administrative functions of the office, including ordering supplies, delivering mail, arranging payment of invoices, escorting visitors, etc.
  • Provide proofreading and editing support for alumni and development materials, including email, direct mail, and web content.
  • Provide support for department mailings.

Required Education, Skills, and Experience:

  • Bachelor’s degree or Associate’s degree with equivalent experience.
  • Minimum of two years’ experience in an administrative support position or related role.
  • An interest in volunteer and donor engagement.
  • High level of proficiency with Microsoft Office Suite; must be able to adapt to new and emerging technology.
  • Strong written and verbal communication skills.
  • Ability to use discretion in handling confidential and sensitive information.
  • Ability to handle multiple priorities with tight deadlines in a fast-paced environment.
  • Ability to work independently to accomplish goals and to participate as an engaged member of the OARD team.
  • Excellent time management, planning, administrative, and organizational skills; good writing and math skills; strong intercommunication skills including the ability to interact courteously and efficiently with a wide variety of individuals both inside and outside of the school.
  • Understanding of, appreciation for, and commitment to inclusion, including the ability to work with students, faculty, and staff from diverse backgrounds, identities, and viewpoints. 
  • General knowledge of higher education administration of fundraising procedures preferred.

  • Willingness and ability to follow any current or future health and safety policies or protocols laid out by the institution.
  • Must be able to work legally within the United States without sponsorship.
  • Physical ability to perform all essential functions of the job with or without basic accommodations.
