LCV is hiring an Administrative Associate who will directly support the Director of IT and Administrative Services in executing the administrative operations of LCV and its sister organization, LCV Education Fund. Responsibilities include assisting with office and staff operations, supporting new hire onboarding, and providing general administrative support to the Human Resources and Administration department. This position is critical to supporting a growing staff and organization with offices across the country.


Responsibilities:

●       Assist in providing general office and administrative support (phones, copiers, eFax, postage meter, etc.) in our Washington, DC office.

o  Assist with incoming mail and deliveries for the Human Resources & Administration department. Notify staff members if they have packages in the mailroom of the building or lobby of our suite.

o  Serve as backup point of contact for building operations notifications including assistance with staff mail deliveries when needed.

o  Work with the office management team to submit work order requests to building engineer/manager and applicable vendors.

o  Check general voicemail inbox and eFax inbox twice daily and distribute incoming information.

o  Provide assistance to the Director of Board Relations with staff lunches when needed.

o  Place orders for coffee, snacks, and kitchen/office supplies and unpack when delivered. Manage inventory.

o  Greet incoming visitors when the receptionist is unavailable.

●       Coordinate operations and technology onboarding for new hires and offboarding for departing employees.

o  Work with hiring managers on collecting information and scheduling onboarding sessions.  

o  Work with LCV’s IT consultant, MIS, to set up technology for incoming new hires.

o  Conduct operations onboarding sessions with the administrative team. Ensure that all new staff members have access to LCV’s administrative and technology related guides, policies, and procedures.

o  Work with supervisors and departing employees to ensure LCV’s offboarding process is followed.

●       Update LCV and LCV Education Fund’s Operations Resource Library when needed.

●       Place staff business card orders and research updated paperless options for business cards. 

●       Support the Human Resources team, as needed in updating, maintaining, distributing, and implementing LCV’s policies, procedures, and instructional guides in compliance with the Collective Bargaining Agreement.

●       Assist with ensuring that LCV’s administrative and operational policies create an equitable and inclusive work environment.

●       Process payments for the Human Resources and Administration department, review departmental expenses monthly, and assist the administrative team in coordinating the annual budget review process.

●       Provide back-up support for the upkeep and management of LCV and LCV Education Fund’s timesheet process.

●       Assist the Human Resources team with coordinating major projects like the annual staff survey and performance review process, as needed.

●       Provide general administrative and planning support to the Human Resources and Administration department.

●       Contribute to LCV’s commitment to integrating racial justice and equity into the work we do and ensuring an inclusive organizational culture.

●       Perform other duties as assigned.


Qualifications:

●       Work Experience: Required - 1 year of administrative experience. Experience with project management. Experience writing/creating documents for large audiences. Preferred - Experience working with databases, scheduling, budgeting or tracking inventory. Experience working with a non-profit organization. Experience working with external vendors. Experience with training others.

●       Skills: Required - Highly attentive to detail and able to take ownership of routine tasks; excellent written and oral communications skills; proficient in Microsoft Office and Google Suite; able to maintain confidentiality; strong organizational skills; exhibits strong judgment; self-starter; works well in a fast-paced environment; ability to handle multiple tasks under pressure of deadline and work for several people; plans and can see the big picture. Preferred - Ability to troubleshoot common IT/technology issues. Data management and filing system skills.

●       Working Conditions: This job operates in a professional office environment, and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and audiovisual systems. This position also involves office management; it requires frequently moving about inside the office to access office equipment, occasionally moving objects up to 20 pounds, and seldom positioning oneself to maintain equipment. Applicants need to be located in and legally authorized to work in the United States.
