The Assistant Director of Finance and Administration is directly responsible for all general accounting practices and procedures including but not limited to payroll, accruals, accounts payable, reconciliation of bank accounts, assistance with human resources and other operational/administration areas that support the day-to-day operations and strategic financial and administrative priorities of the Chapter. Additional support includes budgeting, audit workpapers, grant reporting, investment entries, and ad hoc analytical and financial reporting analysis to support business decisions.
The Assistant Director of Finance and Administration reports to the Director of Finance and Administration (CFO). Experience in general accounting (and non-profit accounting) and administration functions is required. Candidates with this experience from a variety of areas are encouraged to apply, including from higher education, non-profits, state agencies or government. A commitment to working in a compassionate and nurturing environment is required. RMHCNE is a small non-profit and the candidate must be able to work independently on accounting and payroll functions, as well as collaboratively on strategic priorities and initiatives.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Financial Management and Reporting
a. Assist in annual financial planning process in conjunction with the CFO and coordination of budgets across other departments including input of final approved budget into QuickBooks.
b. Responsible for monthly financial reporting package including flux analysis for variances budget to actual.
c. Assist in annual audit process including the preparation of financial work papers to support audited financial statements.
d. Prepare monthly bank reconciliations for operating bank accounts including serving as the banking liaison for both internal and external relationships.
e. Evaluate internal controls for compliance, and opportunities for continuously developing and improving systems and processes.
f. Ensure that invoices are accurate and coded properly for entry; corresponds with vendors, maintains accurate vendor files and records.
g. Serves as petty cashier for the Chapter.
h. Record biweekly payroll activity and retirement plan entries including overseeing external payroll partner and retirement partner relationship.
i. Accounts payable management including processing invoices, ensuring accuracy of invoices and adherence to process regarding approvals and journal entries.
j. Pay monthly credit cards billings and other online payments and record in QuickBooks.
k. Revenue recognition for income receipts, including accurate posting to income accounts, investigation of inconsistencies, and monthly reconciliation between QuickBooks and revenue database.
l. Oversees data inputs and report generation on the Chapter’s Arreva data-management system.
m. Participate in RMHC Global webinars, orientations, and trainings. Become fully versed in RMHC’s finance resources.
n. Take responsibility and initiative for problem solving areas that directly pertains to the position.
Human Resources & Operational
a. Assist with human resources activities of RMHCNE including maintaining personnel files and keeping accurate with records with job descriptions and evaluations; working with HR consultants to ensure the Chapter is in compliance with municipal, state(s), and federal laws and regulations.
b. Assist with benefits administration for staff.
c. Keep staff informed utilizing memos, technology, and meetings updating and educating on new information and changes to policy and processes.
d. Post job vacancies and manage job vacancy process in conjunction with the hiring supervisor.
e. All employees of the Chapter are trained in housing operations duties and participate in housing duties when needed.
a. Interact and work well in a positive, high-energy team environment.
b. Interact professionally/appropriately with RMHCNE stakeholders.
c. Represent RMHCNE in a professional/appropriate manner when attending sponsored events and in the community at large.
d. Utilize effective problem-solving techniques to achieve the appropriate outcomes.
e. Other administrative duties as assigned by the Director of Finance and Administration.
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. A passion for and commitment to non-profit helping pediatric patients and their families in a housing program environment.
2. Prior accounting experience is required with a Bachelor’s degree in business or accounting (3-5 years relevant experience is preferred).
3. Experience with computer accounting software QuickBooks. Experience with automated payroll software.
4. Dependable, detail oriented, excellent judgement, professional and mature. Excellent verbal and written communication skills.
5. Ability to work independently to coordinate/manage multiple projects under sometimes stressful circumstances with the ability to handle sensitive and confidential situations.

8. Excellent computer skills including experience working with the Microsoft Office Suite of products.
WORKING CONDITIONS & ADDITIONAL REQUIREMENTS:
This position is full-time with primary hours typically falling during normal business hours. Ability to work a flexible schedule, when needed, according to the needs of the organization. Position works in an office environment that is set in a home-like environment. The position is primarily located in Providence, RI but may require remote work during COVID-19 surges. Some travel between offices may be required on a limited basis (Providence/Boston Harbor-Charlestown, MA). However, we are open to flexible work locations within the chapter for the right candidate. All employees of RMHCNE are required to be fully vaccinated for COVID-19, including all boosters recommended by the CDC on day 1 of employment. Being fully vaccinated is defined as two weeks/14 days post the second shot of the Pfizer or Moderna vaccine or after the single dose of the Johnson and Johnson vaccine and 14 days post booster shots recommended by the CDC. This is an ‘at will’ employment position, which means that either RMHCNE or the employee may terminate employment at any time, with or without cause or without notice.
