The National Association of Home Builders is seeking a highly organized, team oriented and customer service focused Meetings and Special Events Coordinator to contribute to these exciting events. The ideal person for this role will have an enthusiasm for the meetings and events industry and interested in learning about it from the foundation. They will have a strong addition to detail, flexible and positive attitude, keen interest in using technology to better processes and excellent written and verbal communication skills. Reporting directly to the AVP of Meetings & Events, this position maintains an important role in managing the departments deadlines and processes and contributes to every event the department manages. The ideal person would be a doer, able to work well under pressure in a fast-paced environment during peak event seasons.

Key Responsibilities:

  • Support the planning, coordination, and arrangements for in-person meetings and events, including coordination of pre- and post-event tasks.
  • Maintaining department timelines and ensures the group adheres to schedules and deadlines, providing updates regularly.
  • Supports the financial tracking for each event, to include building an invoice tracking chart, ensures invoices are accurate and processed according to NAHB’s financial standards. Reviews and support budget/financial tracking.
  • Manages contract clauses and requirements including insurance certificates, completes credit applications,
  • Manage the production of print collateral and other materials for meetings and educational programs.
  • Manage dinners, receptions, and other events in conjunction with our trade show or other conferences and meetings as assigned.
  • Assist with online learning events/webinars by supporting staff with administrative setup tasks, serving as technology support during webinars for both attendees and speakers providing real-time customer service.
  • Maintain working knowledge of the website back end, Zoom Webinar, Microsoft Office applications (Word, Excel, Outlook, Teams and OneDrive), SmartSheet and other online event software and technology as required.

A minimum 2-3 years of experience including special events, meetings, and online learning/webinars/events. A four-year college degree, demonstrated success in managing purchases, contracts and experience in sourcing and managing outside vendors is required. Knowledge of the meetings, events and/or hospitality industry and/or experience with associations is preferred. EOE

Remote work is currently available on a hybrid schedule (3 days in, 2 days from home) currently and may require more in-office days during peak event seasons. When onsite at events, standing/walking for long periods of time is expected. Must be able to assist with shipping needs requiring lifting heavy boxes and materials. Travel is required minimally once per year for our annual trade show and occasionally throughout the year.
