Organization:

The Oregon Academy of Family Physicians is a nonprofit association representing 1,700 Family Medicine doctors and medical students in Oregon, and is the parent organization for the OAFP Foundation, Family Physicians of Oregon Political Action Committee, and the Oregon Residency Collaborative Alliance for Family Medicine. Our mission is to support family physicians in their pursuit of optimal health for all Oregonians. We value sustainable, equitable health and vitality for all. Position Overview:

We are looking for a dynamic, detailed-oriented communicator to join our small but mighty team. This position will provide administrative, operational, and communication support to the organization. An ideal candidate will have experience in multiple communication platforms including social media, websites, magazines, emails, and written documents. Telling stories about our work is important to what we do, and the right candidate will help us create compelling narratives that engage our community and demonstrate the value in family medicine. Administrative tasks will include assistance with scheduling, meeting planning, conference planning, and reporting – an interest in project management and organizational effectiveness will be helpful for this role.

Primary Responsibilities:

Communications

  • Effectively communicate Oregon Academy of Family Physicians’ mission, vision and values to a variety of audiences, both external and internal.
  • Create, edit, and post written / designed content for OAFP’s website, blog, emails, and other digital and printed communication pieces.
  • Develop and maintain OAFP Social media content calendar.
  • Support the creation of research briefs, memos, and legislative testimony.
  • Stay current on relevant local and national news.
  • Track and evaluate analytics for communication activities.

OAFP Program & Administrative Responsibilities

  • Schedule meetings and appointments, work with OAFP team to prepare meeting agendas and materials; support OAFP Board meetings by taking notes and drafting minutes. Proactively optimize meeting efficiency.
  • Support event planning, including room and AV setup, food and beverage selection; interaction with site representatives; coordination with external stakeholders for attendance and scheduling.
  • Annual travel within Oregon, and occasionally out of state, to support OAFP events
  • Attend quarterly weekend board meetings (a combination of in-person and virtual) and the annual conference.
  • Develop and maintain positive relationships with members and external customers.
  • Complete a wide variety of administrative and clerical assignments, some of which may be confidential and time-sensitive in nature.
  • Performs related duties as required and assigned.
  • Work with team to help maintain fundraising records as needed.

Knowledge, Skills, Experience and Education: 

  • 2 years’ experience in communications and/or administrative role
  • Familiarity with commonly used software such as Trello, Hootsuite, Mailchimp, Wordpress, Canva, Zoom, etc.
  • Meeting and event planning experience a plus
  • Basic project management or coordination skills are a plus
