POSITION SUMMARY

The Senior Accountant serves as the lead staff person responsible for managing Ocean Leadership’s key and day-to-day accounting and finance functions.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Accounts Payable

·      Manages the accounts payable function and related functions within the automated accounting systems.

·      Prepares, reviews, analyzes and distributes accurate and timely accounts payable and payroll related reports to Program Directors; ensures completeness of all related accounting records. Responds to all related questions; researches additional information and provides timely feedback as appropriate.

·      Reviews and approves all incoming invoices; ensures accurate coding/allocation.

·      Prepares and processes journal entries and invoices for accounts payable and payroll transactions.

 

Payroll Management

·      Oversees payroll process including reviewing timesheets, validating budgeted hours to actual, and reconciling related payroll and leave balance reports to ensure accurate and timely payroll processing

·      Works with Human Resources to ensure timely and accurate processing of payroll related transactions; ensures benefits invoices and all related premium remittances (including bi-weekly retirement plan contributions) are processed in a timely manner.

·      Works with Chief Financial Officer and other Accounting staff to manage fringe benefit rate; compares actual fringe against budgeted allocations.

·      Manages payroll vendor contract; negotiates annual renewal and/or additional services on behalf of Ocean Leadership.

 

General Accounting Management/Reporting

·      Maintains and reconciles all project ledger, general ledger, labor hour distribution and expense reports in Databasics systems.

·      Oversees reconciliation of balance sheet accounts including accounts receivable, prepaids, accounts payable and deferred revenue expense accounts.

·      Prepares detail trial balance, detail project trial balance, job transaction detail reports, and aged accounts payable.

·      Ensures orientation to new staff on accounting procedures and timesheet system usage. Adds and deletes users appropriately.

·      Prepares and reconciles monthly subcontractor and purchase order reports; maintains receipting and closing processes in purchase order system.

·      Assists in managing year-end closing and preparation of schedules for tax filings, financial reports and audits.

·      Reviews reconciliation of monthly bank statements; prepares monthly, quarterly and year-end financial statements.

·      Prepares various required financial and tax reports and payments.

·      Serves as secondary contact with banks, funding agencies, subcontractors and member institutions to resolve and/or prevent potential problems.

·      Performs other duties as required or assigned.

 

QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED

·      Bachelor’s degree in Accounting or related discipline; CPA designation preferred.

·      Requires minimum of five (5) years of broad, hands-on accounting management experience (i.e. accounts payable, payroll, general ledger) to include government grants management accounting practices. Also requires demonstrated, current knowledge of FAR, GAAP, CAS and other applicable accounting and contracting regulations.

·      Knowledge of not-for-profit accounting practices and standards.

·      Demonstrated project and financial management skills and experience including ability to effectively manage multiple, concurrent projects of a complex nature. Supervisory experience also required.

·      Computer literacy required including advanced proficiency in standard business applications (e.g., Excel, PowerPoint, etc.). Must be proficient in the use of accounting software applications; knowledge of Dynamics NAV preferred. Proven experience with advanced financial reporting software.

·      Ability to effectively and accurately analyze financial data.

·      Effective oral and written communication skills including ability to interact effectively with all levels of staff, member institutions, subcontractors and the general public.

 Requires ability to speak, see, hear, and use hands to handle objects, tools, or controls. May occasionally require ability to reach with hands and arms. May also require ability to travel domestically periodically and ability to lift or move up to 15 lbs.
