THE ROLE

Your role stands at the intersection of providing operational support to our Oregon affiliate and the fight to change the odds for historically underserved children and families. The Oregon Operations Coordinator is responsible for providing executive support, development support, events support, and coordinating all operations, and office management systems in the office. You will play a key role in planning and executing impactful campaigns. Hybrid position, based in Portland, Oregon.

RESPONSIBILITIES: 

Executive Support 

  • Maintain the Executive Director’s schedule including coordinating team calendars; scheduling staff meetings; scheduling meetings, and phone calls with funders, coalition partners, and other leaders and stakeholders as needed. 
  • Manage team travel logistics. 
  • Assist the Executive Director in tracking state deliverables. 
  • Support the Executive Director in the timely submission and monthly expenses. 

Project Management 

  • Manage annual processes such as annual review, impact agenda planning, and others.
  • Support state team in activities as needed and defined by the Executive Director, including, but not limited to, staff meetings and events, fundraising event support, and member event support.
  • Coordinate logistics and manage volunteers for various membership, fundraising, or legislative events.
  • Provide support to the Oregon Advisory Board.
  • Work with the Executive Director to determine special projects and/or research needs.
  • Support the Executive Director and Development Manager in creating and processing gift acknowledgments.

Operations and Office Management 

  • Create, implement, and manage office systems including managing shared calendars and staff meetings in Portland and for all Oregon staff.
  • Coordinate all office purchasing and office supplies; manage relationships with all vendors, such as printers, designers, landlord, future National vendors, and other outside sources; ensure all contracts and expenses fall within budget parameters, identifying cost-saving opportunities.
  • Manage office layout and resources, and coordinate office moves within the Portland office when necessary. 
  • Identify and utilize vendors that align with Stand values around Diversity, Equity, and Inclusion and that follow sustainable practices. 
  • Oversee office culture and team-building activities. 
  • Ensure professionalism of internal and external content by providing copy-edits, brand alignment, etc. 

Event Planning and Management 

  • Leading the coordination and event execution including the logistics, vendors, supplies, volunteers, and day-of support for the annual Beat the Odds Fundraiser. 
  • As needed, provide event support for events outside of the Oregon affiliate team.
  • In coordination with the Oregon team, lead logistics, vendors, supplies, volunteers, and day-of support for lobby days, and other related affiliate events.
  • Event coordination and management to include research, book, and schedule services, and manage payment of various vendors such as event venues, travel and overnights, A/V companies, caterers, printers, florists, and interpreters. 

QUALIFICATIONS:   

  • Passionate commitment and alignment to Stand for Children's mission, vision, and values.
  • Minimum of five years of combined professional experience with administrative/executive support and event management support.
  • Strong interpersonal relationships with the ability to manage up and sidewise. 
  • Strong written communication skills.
  • Expert proficiency with Microsoft Office, particularly Outlook, Excel, PowerPoint, and Word; high comfort level with technology. 
  • CRM experience with Salesforce experience preferred. 
  • Exceptional organizational and project management skills, keen attention to detail, customer-service orientation, and proactive problem-solving skills. 
  • Ability to gracefully manage multiple tasks and projects under deadline in a fast-paced work environment.
  • Ability to follow through on commitments to others and accept and incorporate direct feedback. 
  • High comfort level with rolling out new information or systems to the team and helping in troubleshooting and adoption process. 
  • Ability to work occasional weekends and evenings. 
  • Ability to transport items (less than 10 pounds); ability to be stationary for extended periods; may require the ability to climb stairs. 
  • Bilingual in English/Spanish is a plus.
