Position Purpose

Working with the Development Director, the Development and Outreach Coordinator plays a

pivotal role in advancing the organization's mission by supporting fundraising initiatives,

cultivating donor relationships, and expanding our outreach efforts.

Key Responsibilities

Outreach

  • Work with Development Director to set goals and parameters for the Outreach Program with guidelines for accepting and declining opportunities in agreement with Development Department goals.
  • Work with Humane Education Coordinator coordinate education opportunities in conjunction with outreach.
  • Research local events and opportunities and facilitate a presence at those that meet organization guidelines.
  • Develop relationships with the community to facilitate future outreach opportunities.
  • Evaluate outreach requests, provide alternative suggestions for engagement when appropriate.
  • Coordinate all aspects of outreach events: logistics, marketing, staffing, materials, animal selection and management as appropriate.
  • Maintain Heartland’s community image and serve as public liaison.
  • Work with Volunteer Coordinator to develop a volunteer outreach team and act as point personnel for this team.

Social Media and Marketing

  • Work with management and other staff to develop and execute marketing strategies for all channels – onsite, offsite, outreach, and online.
  • Seek out opportunities to promote our mission and services in the community and media.
  • Work with the Development Director, create marketing and outreach materials and content in line with branding guidelines, visual identity, and tone of the organization.
  • Participate in maintaining Heartland’s website with up-to-date information.
  • Help develop our brand and strategy in response to social media trends.
  • Cultivate, grow, and manage HHSC online presence, including but not limited to representing the shelter and Thrift Shop on social media.
  • Work with animal care staff to create and post content within a planned timeline.
  • Raise organization profile in the community; both with members of the public and potential business partners.
  • Ensure public-facing presence is in line with branding and marketing guidelines of the organization.

Development

  • Assist the Business Manager and Development Director with data entry, letter generation, daily processing of incoming and outgoing mail and filing.
  • Generate letters, reports, and articles as needed.
  • Work with administrative staff on projects as needed.
  • Work with Development Director to coordinate and execute fundraising events and initiatives.
  • Serve on committees and take minutes as needed.

Knowledge, Skills & Abilities

  • Ability to function well in a high-paced and at times stressful environment.
  • Ability to obtain and maintain an Oregon Driver’s License.
  • Ability to work with a diverse group of volunteers.
  • Act as a representative and advocate for Heartland in the community.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple projects simultaneously.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Knowledge of nonprofit fundraising best practices and ethical standards.
  • Passion for social justice, community engagement, and nonprofit work.
  • Perform all duties in a safe manner while maintaining a safe work environment and reporting all safety issues to the Facilities Manager.
  • Possess skills to lead in group situations.
  • Proficiency in donor database management and Microsoft Office Suite.
  • Proven track record of successful outreach and fundraising efforts.
  • Self-motivation to work independently.
  • Strong communication skills, including the ability to articulate the organization's mission and impact to diverse audiences.
  • Understand and incorporate Heartland’s vision, mission, values, policies, and procedures.

Minimum Qualifications

Minimum of 2-3 years of experience in nonprofit fundraising, development, or related field.

Safety

Model safe work practices by following all safety guidelines to ensure a safe work environment. Wear the required clothing and job-specific safety gear as directed.

Dress Code

All Heartland employees are expected to conduct and present themselves in a manner that will instill confidence in the people served and the general public. While employee dress style at Heartland is casual, employees are expected to present themselves in a manner that is appropriate to the work site and job requirements. All personnel are expected to wear Heartland gear or clothing that is appropriate for duty. All personnel are expected to wear closed-toed shoes with good traction.

Working Conditions

Work is performed in animal and public areas of the shelter and all staff have contact with the public, outside vendors, HHS&C team members, volunteers, donors, supporters, and board members. Frequent bending, reaching, kneeling, and sitting at a computer workstation; exposure to disinfectant solutions; subject to animal bites and scratches; regularly lift up to 50 pounds.

Work Schedule

This is an hourly position. You may be asked to work up to 40 hours per week. Must be available and willing to work weekends, evenings, holidays, and attend mandatory training and meetings as the employer determines necessary.
