    Interwoven: 2025 IDA Conference - Washington, DC

    Hello!

    Want to be have a great opportunity to contribute to International Downtown Association’s event of the year!? We're seeking enthusiastic volunteers for our annual conference, taking place at the Capital Hilton Hotel in Washington D.C. from September 23-27, 2025.

    We have a variety of engaging roles available, including hotel greeting and wayfinding, assisting with breakout sessions, managing registration, and supporting our receptions. These roles are perfect for:

      • Students looking to gain practical experience and volunteer hours
      • Professionals needing to fulfill volunteer hours
      • Urban Place Management Organizations wanting to gain knowledge but unable to attend the full conference
      • Individuals with an interest in event management or downtown development
      • Family and friends of our organizations
      • Individuals wanting to celebrate IDA, DowntownDC BID and our attendees in all that we do!

    While these are unpaid, voluntary positions, we'll provide volunteers with a complimentary volunteer t-shirt and light beverages/snacks to keep you energized throughout your shift.

    Signing up for more than one (1) shift if highly encouraged and helpful! If there is a session that is of interest to you, please sign up before someone else does! Receptions volunteers must be 21+ to sign up and ID will be asked before confirming position.

    To help you prepare, we'll be facilitating Zoom orientations prior to the conference.

    Instrucciones:

    Registration/TOUR Desk Volunteer

    Responsibilities

    • Assist with conference registration set-up, including but not limited to: setup/breakdown as needed, stuffing envelopes, filling and distributing tote bags, organizing supplies, and ensuring good flow of conference attendees around registration desk
    • Check in conference registrants and assist at registration desk for attendees registering on-site (this requires someone with some tech savvy skills)
    • Direct vendors, exhibitors, and speakers

    Hotel Greeter Volunteer/Directionals

    Responsibilities

    • Greet and answer questions from conference attendees
    • Volunteers scheduled on Wednesday and Friday evenings will hold “popsicle signs” directing attendees from hotel to venue
    • Two locations: Lobby and meeting/reg floor at hotel

    Room Monitors and Plenary Sessions Volunteers

    Responsibilities

    • Welcome and direct attendees to seating area (assist with filling front of room first so empty seats are vacant)
    • Ensure that speakers’ presentations are loaded to computer and on desktop
    • Provide assistance to speakers as needed
    • Monitor attendees to fill in seats based
    • Make certain all Audio-Visual equipment is working properly. Test microphones, LCD projector, projection screens, internet, videos, etc. (Notify the IDA meeting planner if any problems)
    • When people exit session, encourage people to do evaluation on app and in email to be sent
    • Count the number of attendees and turn in the count to the IDA meeting planner/Volunteer Lead
    • Checklist to be provided to each room session monitor
    • Plenary session – ensure seats are being filled and guiding individuals to empty seats vs standing.

    Human Arrows and Directionals

    Responsibilities

    • Guide traffic as attendees move from one level of the conference venue to another
    • Help attendees find their way to the show floor

    Special Task Runner Volunteer

    Responsibilities

    • Be available to provide assistance as needed to IDA meeting planner
    • Tech savvy, quick on feet, on the go preferably

    Receptions Volunteer (21+)

    Responsibilities

    • Guide traffic as attendees travel from the hotel to the reception venue
    • Assist with shuttle transportation (if applicable) and reception check-in
    • Warmly greet reception attendees and answer questions
    • Mingle with reception attendees and sharing co-host city history facts or points of interest during the reception
    • It is helpful for this volunteer to have an outgoing personality and be comfortable in a social environment
