Role Title: Board Member, Secretary

Reports to: President of the Board of Directors

About the Role: 

The Secretary, Board Member, plays a crucial role in advancing Connecting Mothers Initiative’s mission by providing strategic guidance and administrative support to ensure the effective operation of the board. These programs and initiatives provide opportunities for educational advancement, civic engagement and organizational impact in the community. CMI is a community organization currently pursuing 501(c)(3) designation status as a nonprofit. The board convenes at the end of every quarter, or four times a year. The board may convene at alternative dates and times dependent on when they are called to meet by other board members and executive leadership within the organization. All board members must ensure that CMI’s commitment to supporting mothers through education, resources, and community engagement is reflected in all our work, events, and initiatives.

This position will serve in a remote capacity, utilizing tools such as Zoom and Slack to collaborate with other board members and organizational leaders. Applicants must be comfortable operating in a start-up environment and should be prepared to maintain a high level of communication and coordination.This position necessitates a one-year commitment, though the duration can be extended if both parties are interested.


Meeting Coordination and Documentation:

  • Schedule and coordinate quarterly board meetings and any additional meetings as required.
  • Prepare and distribute agendas, retroactive notes, minutes, and other necessary documents prior to meetings.
  • Document and maintain accurate records of meeting discussions, meeting minutes, decisions, and action items.


  • Maintain up-to-date records of board activities, including meeting minutes, bylaws, and policies.
  • Ensure compliance with all legal and regulatory documentation requirements.
  • Manage and organize board files and records in a secure and accessible manner.


  • Serve as the primary point of contact for board communications.
  • Ensure timely and effective communication between board members and with other organizational stakeholders.
  • Distribute relevant information and updates to board members.

Compliance and Governance:

  • Ensure the board adheres to governance standards and complies with regulatory requirements.
  • Assist in the development and review of organizational policies and procedures.
  • Monitor and report on the board’s compliance with CMI’s bylaws and other governing documents.

Support and Coordination:

  • Assist all board members in their duties.
  • Coordinate with executive leadership to align board activities with organizational goals.
  • Facilitate the onboarding and orientation of new board members.


  • A strong passion for and commitment to CMI’s mission of supporting mothers through education, resources, and community engagement.
  • Prior experience in nonprofit governance or board administration preferred.
  • Understanding of nonprofit governance and compliance requirements preferred.
  • Experience in record-keeping, meeting coordination/scheduling, and/or administrative support roles required.
  • Pursuing a degree or hold a degree in Nonprofit Management, Business Administration, Public Administration, Organizational Leadership, Legal Studies, and/or related fields
  • Excellent organizational and time-management skills required.
  • Strong attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to ensure effective and timely communication among board members and with other stakeholders.
  • Comfortable using remote communication tools such as Zoom and Slack.
  • Proficient with Microsoft Office and Google Workspace, including Microsoft Word, Google Documents, Google Sheets and Google Drive.
  • Familiarity with regulatory requirements for nonprofit organizations is a plus.
  • Willingness to dedicate the necessary time and effort to fulfill the role’s responsibilities, including attending quarterly meetings and participating in additional activities as required
  • Authorized to work in the U.S.
