Department Description:

The Accounting Operations department is responsible for all transactional processes of the Institute; which includes Accounts Payable, Accounts Receivable, Payroll and general ledger oversight. The department completes the annual audit process, ensures compliance with all financial regulations, and provides financial reporting to internal staff, senior management, Board of Directors, and external parties.

Basic Function:

The eCommerce Specialist is responsible for all entries of ecommerce activity; and set up and maintenance of eCommerce related websites. The specialist will work with the IT and Communications department to test and ensure accuracy of public-facing sites. The position will be primarily remote, with occasional days in the DC office headquarters.

Essential Duties

Essential responsibilities include, but are not limited to:

  • Monitor and record all eCommerce transactions.
  • Work with programs and Web Team to test and ensure new initiatives are functioning and reporting properly eCommerce levels. Checks for non-payment registrations and duplicate payments. Process refunds as needed.
  • Generates daily batch reports on each eCommerce platforms and prepares for entry. This includes Square, PayPal, Cvent and all online registration sites.
  • Monitor eCommerce mailbox.
  • Process credit card transactions as needed and enters into accounting system.
  • Provide training and technical guidance to staff on eCommerce activities and cash receipts at off-site events.
  • Monthly reconciliation to the Cash Suspense Account
  • Perform other duties as requested or assigned.

Principal Interactions:

The eCommerce Specialist will work closely with the Cash Management Supervisor and other accounting staff. The eCommerce Specialist will need to regularly interact with all staff engaged in eCommerce and credit card activities.

Education/Experience:

  • Bachelor's degree preferred with 2+ years of related professional experience, or equivalent combination of education and experience.
  • Excellent organizational skills and interpersonal skills, including ability to resolve disputes and observe confidentiality.
  • Strong attention to detail.
  • High degree of professionalism and accuracy.
  • Proficiency with Microsoft suite of products, with focus on Excel.

The Institute has implemented a mandatory COVID vaccination policy for all employees who will work at one of our physical locations, attend any of our in-person events or travel on behalf of the Institute. Staff unable to be vaccinated may request an exemption under certain circumstances.
