Events Assistant (Temporary)

The Choice, Inc. is seeking an immediate Events Assistant for our client, a membership organization that works with economic developers to provide training courses for the organization’s webinars and conferences. The candidate will provide administrative support to the meetings, programs, and communications team until September 30th.

This is a remote role with the option to also work on-site.

What we are seeking:

·      Prior administrative experience, with a Bachelor’s degree.

·      Comfortable traveling to the state of Oklahoma for one week

·      Ability to commit for entire duration

 This role will provide meetings, conferences, and administrative support to the assigned department including:


·      Providing support to the Interim Meetings Director in order to meet key deadlines and become keenly familiar with the conference content, events, and logistics in preparation of onsite duties.

·      Supporting Programming team in finalizing program and speaker details, including speaker photo and bio collection. 

·      Maintaining onsite support at the hotel during the course and conference setup- primarily being a physical presence, checking setups against orders, and relaying any issues to supervisor. 

·      Providing on the floor support during large receptions as a second set of eyes overseeing event flow.

·      Assisting Interim Meetings Director in closing out the conference.

·       Ensuring all conference documents are collected and saved in appropriate drives and files.


Additional Qualifications and Skills:

·      Organized, detail oriented, and proactive self-starter

·      Comfortable reporting to multiple individuals within department

·      Prior meetings/events experience preferred

·      Ability to work 12-hour days for week of conference


Covid-19 vaccination and booster required.
