    Title: Executive Assistant & Office Coordinator

    Type: Full-Time, Direct Hire

    Location: Washington, D.C. (In-Person Monday–Thursday; Remote Fridays)

    Salary: $85,000–$95,000

    Our client, a leading nonpartisan policy nonprofit is seeking an Executive Assistant & Office Coordinator to play a central role in keeping their Washington, D.C. office running smoothly and their senior leadership team operating at peak efficiency.

    This position is a strong fit for someone with Capitol Hill experience who’s ready to bring their strategic scheduling, communication, and organizational skills to a high-impact nonprofit working at the heart of national policy conversations. You’ll support four VP-level leaders while also serving as the go-to for office coordination and cross-team administrative support.

    Key Responsibilities

    Executive Support

    • Provide direct administrative support to four VP-level leaders, including complex scheduling, meeting prep, and strategic prioritization.
    • Draft, proofread, and manage high-level correspondence and project follow-ups.
    • Anticipate the needs of senior leadership and act as a gatekeeper and problem-solver.

    Office Coordination

    • Serve as the welcoming face of the DC office, greeting visitors and creating a professional, friendly environment.
    • Manage office logistics: supplies, vendors, tech support, and general facility operations.
    • Support hybrid meetings and events with light AV setup and troubleshooting.

    Administrative Support

    • Coordinate internal calendars for meetings, interviews, and special events.
    • Prepare materials for board meetings and executive engagements.
    • Provide administrative support to HR and finance (e.g., onboarding, expense reports).
    • Maintain digital filing systems and project management tools.

    What You Bring

    • 5-10+ years in executive support, office management, or administrative roles. Capitol Hill experience is a major plus.
    • Bachelor’s degree required.
    • First-rate communication and interpersonal skills; professional, tactful, and approachable.
    • Flawless attention to detail and organizational prowess.
    • Tech-savvy with Microsoft Office, Google Workspace, Zoom, and adaptable to new tools.
    • Discreet and trustworthy with sensitive information.
    • Eager to pitch in, take initiative, and contribute to a collaborative team culture.
