Summary of Duties:

  • Track budget resources, process claims/invoices/payments of vendors and maintain appropriate records and knowledge of policies.
  • Prepare contract forms for approval and track contracts with external service providers for completeness on behalf of the team.
  • Provide event planning support (development, execution, follow-up) for curated initiatives and VIP visitor programs, ranging from large (100 person) to small.
  • Input data into CRM system(s) and generate reports on a biweekly basis.
  • Undertake research to prepare responses to enquiries from the public on a broad range of trade, innovation and investment-related subjects.
  • Lead on and update the team’s information management system(s) (e.g Salesforce, Sharepoint, etc.).
  • Provide outstanding administrative and organizational support to the team.
  • Research content to contribute to the Consulate’s LinkedIn accounts.
  • Work collaboratively with other administrative support staff in the program to ensure coverage.


Area of Selection:

Open to applicants who are legal residents or citizens of the United States who are:

  • currently living and eligible to work in the United States;
  • current employees of a Canadian Mission located in the United States; 
  • spouses and dependents of Canada-based staff of the Canadian Missions in New York;

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

*Language will be assessed further during the process. 



Candidates will be required to provide proof of the completion of their education.

  • Bachelors Degree from an accredited college or university; or equivalent combination of education and experience.



  • An advanced proficiency level in English (reading, writing, comprehension and speaking).


  1. One year of recent* experience in an administrative support role in a professional office environment.
  2. Recent experience tracking budget resources, and processing claims/invoices/payments.
  3. Recent experience in supporting event planning, projects, initiatives, activities and VIP visitor programs.
  4. Recent experience in drafting responses to public inquiries, including conducting research and writing correspondence.
  5. Recent experience in creating newsletters/presentations/informational products using graphic design platforms (e.g. Canva) and marketing platforms (e.g. Mail Chimp).

*Recent as defined in the last 7 years. 



The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.



  1. Role of the Canadian Trade Commissioner Service;
  2. Knowledge and proficiency in Microsoft Office Suite; and
  3. General administrative and financial processes and procedures.



  1. Advanced skills in the use of Microsoft Office, and CRM systems (e.g Salesforce, Sharepoint, etc.).

  5. Teamwork and cooperation; and
  6. Integrity and resilience.



  1. Ability to communicate effectively orally and in writing; 
  2. Manage multiple priorities with tight deadlines;
  3. Use social media tools for promotion and/or to generate new business opportunities;
  4. Ability to work with a diverse client base, including racialized communities while applying an intersectional lens to initiatives, with a view to advancing the organization in the areas of diversity, equity and inclusion; and
  5. Take initiative to identify and solve problems;


Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  • Knowledge of French would be considered an asset.


Operational Requirements:

- Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week. 

- Occasional overtime, including evenings and weekends, may be required with advance notice.

- Location of work: Work is normally performed on-site with some limited flexibility for teleworking. 


Conditions of Employment:

Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period. Must have Independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions. In this respect, applicants must confirm independent work authorization in the United States (e.g. US Citizen, U.S Legal Permanent Resident (LPR), or specific visa categories (e.g. dependents of Diplomatic and Official Visas holders)) as required by the Department of State for employment in a foreign mission.

- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
