    Reports To: Executive Director

    FLSA Status: Exempt

    SUMMARY: The Operations Manager is responsible for the day-to-day operations of Arts Impact, Inc., including many aspects of finances, property management, personnel, and administrative support. The Operations Manager is also responsible for creating and auditing business processes that positively impact the efficiency and productivity of all departments.

    DUTIES AND RESPONSIBILITIES:

    TECHNOLOGY

    • Primary administration of technological platforms including Salesforce and Smartsheet; creates templates and workflows to support all areas of the organization.
    • Provides front-line tech support for staff and contractors.
    • Acts as the main point of contact for external IT department.

    OFFICE/STAFFING SUPPORT

    • Purchases and maintains office supply inventory and office equipment.
    • Processes payroll and tracks employees’ paid time off.
    • Purchases and maintains office supply inventory and office equipment.
    • Conducts onboarding process for new hires.

    ACCOUNTING/BANKING

    • Prepares materials for contract accountant.
    • Acts as primary point of contact for banking; prepares and makes bank deposits.
    • Manages invoicing process.

    PROGRAM SUPPORT

    • Provides operational and administrative support to all programs including program calendar, contracts, etc.
    • Manages, analyzes, and shares assessment data for program review and reporting.

    DEVELOPMENT

    • Supports the Development Director with administrative work, such as processing donations/grants and generating Salesforce reports for grant requests/reports.
    • Works alongside the Development Director to create fundraising campaigns, mailing lists, and related materials.

    Performs other duties as assigned.

    QUALIFICATIONS:

    Education/Experience:

    • Bachelor's degree preferred.
    • Two or more years’ experience preferred.

    Language Skills:

    • Ability to read, analyze, and interpret financial reports, data, and written documents.
    • Ability to interact clearly and effectively, in both written and oral communication, with supervisor, staff, vendors, etc.

    Mathematical/Organizational Skills:

    • Basic math skills, applicable to accounting principles.
    • Strong organizational skills required.

    Computer Skills: 

    • Proficient in personal computer skills including e-mail, record keeping, routine database activity, word processing, spreadsheets, graphics, etc.
    • Above-average knowledge of Microsoft Office.
    • Proficient with Smartsheet and Salesforce or similar tools.

    PHYSICAL DEMANDS:

    While performing the duties of this job, the individual must be able to remain in a stationary position for 90 percent of the time while operating their computer and performing office work. The individual needs to occasionally move about inside the office. They constantly operate a computer and other office machinery, such as copiers and printers. They must be able to exchange accurate information with staff, vendors, and others in the office while interacting. The employee must regularly move up to 15 pounds and occasionally up to 25 pounds. The individual must be capable of reviewing their work for errors and adjusting as necessary.

    WORK ENVIRONMENT:

    While performing the duties of this Job, the individual is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually low to moderate. The individual frequently works in a controlled climate.
