Civil Justice, Inc., (CJ) a Maryland legal services non-profit, seeks an Operations Associate to join our team. This is an exciting opportunity for a professional who strives to help organizations operate efficiently for greater impact. This position reports to the Deputy Director.
• Organizes and develops the team’s physical and virtual work-space;
• Coordinates IT support, performing troubleshooting where possible and implementing IT solutions as needed;
• In conjunction with our IT contractor, administers and makes recommendations for all; technology, including, calendars, database, and cloud-based accounts in conjunction with our IT contractor
• Implements and refines policies and solutions for team in a hybrid work environment;
• Provides training to CJ staff on technology platforms, systems, and procedures; and
• Leads office orientation for new staff, fellows, interns, and volunteers developing and maintaining current documentation of business procedures
Administrative & Program Support
• Assists team with training and event logistics;
• Supports with grants, fundraising, and member and donor management tasks;
• Supports staff and board with events, meetings, and travel coordination; and
• Updates CJ’s website and social media accounts.
Bookkeeping and Finance
• In coordination with CJ’s accounting consultant and executive team, manages accounts payable;
• Coordinates accounting records retention in accordance with organizational finance policies;
• Assists with banking functions, budgeting and tax forms as needed; and
• Assists executive team with budget management and reporting for board of directors and grants.
Human Resources
• Process payroll and manage employee benefits;
• Coordinates annual benefits renewals;
Supports recruitment efforts and onboarding for new staff and interns;
Requirements:
• Bachelor’s degree preferred;
• Prior experience managing an office environment and implementing new policies and procedures to ensure maximum efficiency.
• Excellent interpersonal, organizational, and written communication skills,
• Demonstrated ability to handle sensitive and confidential information;
• Ability to take initiative and proactively manage multiple sometimes competing tasks and projects while satisfactorily meeting deadlines and desired outcomes;
• Strong attention to detail in a fast-paced environment;
• Solution-focused: able to analyze administrative, financial, and technical problems and recommend effective solutions;
• Experience using QuickBooks online;
• Extremely flexible, with a strong work ethic; and
• Strong organizational and time management skills.

The salary range for this position is $60,000-$65,000, dependent on experience. Remote work locations with a flexible work schedule will be considered.
