Democracy Forward seeks a dynamic and motivated professional with strong administrative skills to ensure that its office and internal operations are operating smoothly, effectively, and in a manner consistent with its people-centered workplace values and culture of collaboration, equity, inclusion, and justice.  The ideal candidate will be motivated to support all administrative needs of our office environment and will have experience working collaboratively to support teams in a mission-driven organization. 

This position is full-time and Democracy Forward’s offices are located in Washington, DC. During the COVID-19 pandemic, the position can generally be performed remotely with an occasional need to be in the office, due to the nature of this position.  In non-pandemic times, Democracy Forward will operate a flexible, hybrid office environment where employees are able to work effectively from home and from the office space, as is best and appropriate for their lives and professional situations. 

This position will report to the organization’s Chief of Staff and work among and with all people and departments in the organization.   

Responsibilities: 

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Reporting office progress to senior management and work with them to improve office operations and procedures
  • Assist management in maintaining a culture of belonging, collaboration, justice, equity, and inclusion through facilitating an accessible, people-centered work environment. 
  • Office management
  • Manage the organization’s hybrid office environment
  • Manage all aspects of the office’s space/infrastructure planning and provide resources and solutions as requested including office layout planning and office moves, and with managing and maintaining IT infrastructure
  • Monitoring office supplies and ordering new stationery, furniture, appliances and electronics as required
  • Create and manage filing systems
  • Administrative Support
  • Coordinate internal and external resources, and cultivate relationships with vendors
  • Handle correspondence and respond to requests for information and questions
  • Oversee supplies and equipment procurement
  • Provide direct administrative supports as needed, including scheduling meetings and events, booking travel, mailing and shipping packages, and updating contact databases and employee lists
  • Manage the organizational calendar and internal communication
  • Team and client  support 
  • Interviewing and training new office employees and organizing their employment paperwork
  • Oversee the day-to-day activities of the office as the main point of contact in the reception area
  • Plan community events, including office gatherings, alumni gatherings, and client events 
  • Contribute to efforts to ensure an inclusive, collaborative, people-centered workplace culture
  • Manage special projects as needed.

Typical Minimum Work Experience and Education (Qualifications) 

  • 3-5 years of work experience in an administrative/office management role (candidates with a desire to promote Democracy Forward’s mission but that may have a greater number of years of experience are also encouraged to apply)
  • Work experience in a non-profit organization and/or working with mission-based projects 
  • Experience contributing to a organizational culture of equity, justice, and inclusion 
  • Experience working with organizational leadership

Typical Functional Experience (Qualifications)

  • Must have exceptional attention to detail, demonstrated trustworthiness, and leadership skills 
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Must demonstrate a commitment to equity, justice, and inclusion within the workplace 
  • Must demonstrate a commitment to the organization’s mission and values of advancing democratic values and achieving social progress 
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office and Google products
  • Experience in people management, human resource functions is a plus
  • Organization and the ability to multitask to complete a wide variety of tasks and flexibility to help them adjust to new tasks should company or office needs change
