Overview

Founded in 2002, Matahari Women Workers' Center is a Greater Boston community-based social justice organization of women and families working to end gender violence and exploitation. We aim to develop the leadership of women who are directly impacted by and have survived gender violence and exploitation by means of domestic or sexual violence, labor trafficking, and wage theft; and to address the root causes of social injustices that women face. The core of our work is grassroots leadership development and the empowerment of women workers and their families to change laws and conditions that impact us. Our mission is to work to end gender violence and exploitation.

Matahari is a fiscally sponsored project of TSNE (www.tsne.org).



Responsibilities

Matahari seeks an energetic, self-directed, reliable, detail oriented for an Operations & Development Manager (“the Operations Manager”). The Operations Manager is responsible for supporting the Executive Director in developing and implementing administrative and information management systems and ensures smooth functioning of the organization. Be an innovative contributor of ideas, strategizing and implementing them to provide continuous improvement to the organization including the area of process improvement. The Operations Manager performs a variety of administrative tasks and also manages Matahari's grants management systems. Ideal candidates are skillful in coordinating logistics/events/travel; eager to develop systems that make the organization more effective; and enjoy assessing the team's needs and finding solutions. A successful candidate must demonstrate their capability for a high level of responsibility and independent thinking with the ability to manage multiple projects at once.

This is a regular-full time position with a 3-month orientation period. The starting salary for this position is $60,000/year and is commensurate with experience. This position will report to Matahari's Executive Director. This role will require an ability to work flexible hours, including nights and weekends and some local and national travel.

Essential Job Functions

Fundraising and Development

  • Develop and manage the Grants Calendar including ensuring timely submission of all grant reports and proposals;
  • Oversee the file management system for grants so that all approved proposals, budgets, reports, award letters, and MOUs are scanned, returned to the donor or program partners and filed both on the server and in hard copy;
  • Coordinate and manage documentation needed for proposal submission, including uploads necessary to funder portals;
  • Manage quantitative and qualitative reporting for all foundation grants (currently 10 funding sources) which involves setting up meetings with relevant staff and Executive Director to gather and document program activities and accomplishments. May involve direct transcription of content from the Executive Director;
  • Coordinate with fiscal sponsors around upcoming grant and report deadlines and request needed materials for submission;
  • Coordinate logistics for virtual and in-person events and fundraising events;
  • Manage donor fundraising platform in order to send timely acknowledgement of gifts, ensure needed tax receipts and problem solve challenges with donations.

Operations

  • Work with Executive Director to engage in strategic planning and implementation, including succession planning;
  • Process payments, manage vendors, deliverables, invoicing, and reimbursement requests;
  • Oversee and manage payroll responsibilities such as approving staff timesheets, PTO and expense reports.;
  • Review and manage approval requests for PTO with the Executive Director with an eye to ensuring organizational sustainability;
  • Ensure documentation and organization of financial and administrative folders;
  • Manage the process for transfer to a new fiscal sponsor and serve as the main point of contact to Matahari's fiscal sponsor;
  • Serve as point person for staff meeting agendas and notes ensuring that identified next steps are distributed and reported on;
  • Manage all aspects and communicate logistics for organization-wide and external meetings, mobilizations, and other activities, including calendar coordination/date-setting, transportation, accommodations, venue, food, rentals, translation, turnout tracking, email communication & reminders, vendor management etc.
  • Purchase and preparation of all materials, including preparation of action packets and other steering committee materials etc.
  • Provide direct support and communication to organizers and member leaders regarding logistics, turn-out etc.
  • Manage the inventory, purchasing, and distribution of materials, including t-shirts, buttons, materials, bags etc.
  • Ensure that staff have what they need to use Matahari's technology systems (issue logins, set up email accounts) and problem solve staff technology challenges;
  • Work with Executive Director to engage in strategic planning and implementation, including succession planning;
  • Assist with the onboarding of new hires.

Financial

  • Work with Executive Director on budget planning and monitoring;
  • Monitor spending volume to ensure programs and organization remain on target;
  • Manages contract and negotiations with vendors, and service providers including contracts;
  • Partners with Administrator to ensure invoices are processed accurately and timely for payment;
  • Collaborate with Executive Director and TSNE Grants and Finance Manager to:
    • Review monthly financial reports;
    • Prepare grant reports and request budget revisions or grant extensions;
    • Participate in finance calls with TSNE's GFM.



Qualifications

We will consider exceptional candidates who demonstrate a strong combination of the specific qualifications and skills described below.

  • Education/Experience requirement: college-level education in Business and/or 3+ years work-related experience
  • Agreement and alignment with Matahari's purpose and values, understanding of issues facing low-wage workers, immigrant communities, and other communities of color;
  • Excellent technological communication, facilitation, and organizational skills;
  • Ability to work independently as well as in a team;
  • Ability to work flexible hours, including nights and weekends and some local and national travel;
  • Proficient technology skills, particularly Microsoft Word, Google Apps (Drive, Gmail, Docs, ), webinar and chat tools. Working knowledge of Social Media and databases a plus.

While performing the duties of this position, the employee is required to:

  • Extended periods at a computer;

  • Occasionally lift and/or move up to 25 pounds;
  • The noise level in the work environment is usually moderate;
  • Job is not subject to significant occupational or environmental hazards;
  • Likelihood of personal injury would be relatively slight;
  • Environmental and work hazards are not present to a measurable degree.

Compensation and Benefits

Location: Work will be primarily performed primarily at our location, but currently remote due to the pandemic.

Compensation: The starting salary for this position is $60,000/yr and is commensurate with experience.
